The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) strengthens Arizona communities by bridging and minimizing gaps to employment and independence.
DES is seeking an experienced and highly motivated individual to join our team as an Executive Assistant with the Unemployment Insurance Administration (UIA). The Executive Assistant in this position will also represent the three Unemployment Insurance Deputy Administrators. This position will be responsible for creating, modifying, maintaining, and distributing documents and spreadsheets requested by the UI administrator. The Executive Assistant will attend meetings, take notes, and relay information to internal and external stakeholders, and will assist in colleague recognition programs. The Executive Assistant will consult with the program's deputy administrators regarding program goals, objectives, accountability, and delivery of services.
This position requires occasional travel to attend off-site meetings, trainings, or conferences.
Travel will be required for State business. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on State business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on State business shall maintain the statutorily required liability insurance (see Arizona Administrative Code [A.A.C.] R2-10-207.11).
This position may offer the ability to work remotely, within Arizona, based upon the department’s business needs and continual meeting of expected performance measures.

Job Duties: |
Essential Duties and Responsibilities include but are not limited to:
• Provide technical guidance and administrative expertise to the Unemployment Insurance Administrator and the three Unemployment Insurance Deputy Administrators. Will consult with the program’s deputy administrators regarding program goals, objectives, accountability, and delivery of services.
• Maintain the calendar of the Unemployment Insurance Administrator, maintains the UIA program organization chart, and assists with project plan development, standardizes central file structure for master documents, tracks follow-up/due date status, and obtains project updates.
• Responsible for assisting in maintaining the daily operations of the UIA Program, to include, but not limited to scheduling conference rooms, processing travel requests and travel reimbursements, managing the use of state vehicles, entering and managing supplies, timecards, hiring requests, submitting requests for DES.
• Respond to various inquiries for information and action, including correspondence control actions, divisional actions on behalf of the UIA Administrator and Deputy Administrators, Reviews drafts of proposed responses, and outgoing correspondence from the UIA administrator and Deputy Administrators.
Knowledge, Skills & Abilities (KSAs): |
• Knowledge of concepts of program planning and designing, state and federal laws, and regulations governing the UIA Program.
• Knowledge of internal organization, management, business, and public administration practices.
• Skills in strong public relations, oral and written communication skills, and the ability to establish and maintain professional working relationships.
• Ability to develop and implement functional program objectives.
• Ability to review and evaluate program activities analytically and develop effective work plans and methods for improvement.
• Ability to act independently requiring own initiative.
Selective Preference(s): |
The ideal candidate for this position will have:
• Combination of education and work experience that shows 3-5 years of progressively higher level executive or administrative responsibility with senior level management and supervisory experience. Experience in state government preferred.

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
