Job Summary: |
This position will provide administrative support to Public Information staff, the broader Communications and Public Involvement workgroup, including the assistant directors for Public Information and Motor Vehicle Division/Community Outreach; will assist with engaging and resolving questions and concerns from members of the public; and assist with online streaming of State Transportation Board meetings. This position will have frequent contact with the public by email and phone. When assisting with State Transportation Board meetings, this position will engage with agency leaders and appointed board members.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties: |
Assist with tracking, assigning and resolving queries to Public Information from constituents and news media customers. Maintain running list of news media queries, to whom they are assigned and whether they are resolved. Provide reminders to Public Information staff as needed. Provide backup to the Community Information Officer by responding to telephone and online queries.
Assemble a Daily Media clips report for distribution to agency leaders and Communications and Public Involvement staff. Consult previous day's Media Update report to identify media mentions that might not be identified by a clipping service. Conduct requested research as needed for contests and other needs.
Provide administrative support by updating news media, Media Update and Media Clips contact lists as needed; assisting with conducting inventory for the broader Communications and Public Involvement team; supporting the committee organizing thrice-yearly all-hands meetings for the broader team.
Assist with State Transportation Board meeting preparations by (1) coordinating production of a Community Profile document, in collaboration with Community Relations, briefing board members on projects occurring in an area and listing are elected leaders; and (2) providing online audio during meetings, which are held around the state, at least once a month.
Manage, retention, destruction and storage for Public Information and possibly other teams within Communications, attend meetings, and brief PIO Administrator.
Other duties as assigned as related to the position.

- Ability to learn basic meeting streaming skills, including. placing microphones, testing sound and resolving problems.
- Ability to work within a database interface to receive and respond to constituent queries.
- Ability to handle multiple projects adhering to deadlines and time management.
Selective Preference(s): |
A Bachelor's degree in an appropriate field from an accredited college or university and at two years experience; or a combination of applicable education and experience; or three years of experience working with customers and in a high profile office environment doing administrative work. Experience working with customers (internal/external), including in person, telephone and electronic mail.
Pre-Employment Requirements: |
This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
