Job Summary: |
Work under limited supervision of Warehouse Manager within established guidelines and policies; plans and coordinates warehouse work ensuring distribution of product is received/stored/inventoried/ordered/shipped accurately and in an efficient, effective manner; to purchase/order necessary supplies, materials, and/or equipment; determine minimum/maximum stock levels and reorder points; accept/reject delivery of supplies, materials, and/or equipment; project supply, materials, and equipment needs; develops/implements a variety of stores/warehousing related policies and procedures concerning stock storage/rotation, delivery schedules, inventory control, shipping/receiving, and safety. Creates and assigns form numbers and stock locations in the Order Inventory Management System (OIMS); receive and inspect incoming product for quality and quantity; maintain and update a computerized inventory of this property; monitors/tracks the inventory of high security and sensitive forms, documents and supplies; inspects/monitor each incoming OIMS customer order and adjust order as determined by customer usage report and storeroom report. Load and unload delivery trucks; perform physical inventories/reconciliations in accordance with policies. Operate vehicle/truck lift gates, forklift vehicle, pallet jacks and drum lifts as required. Provide customer service support in person and by phone or e-mail, and other duties as assigned by the manager.
Job Duties: |
Monitor/reorder/maintain stock levels, rotate and keep secure at all times; update form information in OIMS; run various reports; determine customers and warehouse needs by reviewing various reports; communicate needs to management and other state agencies; inspect/monitor each OIMS order and adjust order as determined by customer usage; track the distribution of highly secure forms; resolve forms issues and maintain accountable forms accuracy.
Responsible for overseeing/determining inventory needs for fiscal year; for reviewing, distributing and monitoring forms to over 275 state agencies; for providing forms to over 2,000 privately owned business and medical agencies statewide.
Create and process orders in OIMS as received by phone, fax, e-mail or walk-in; work closely with customers to determine needs; pack orders for Fed-Ex shipping, in-house pickup or for delivery by warehouse courier; contact customers when orders are ready for pick-up; secure and store orders until picked up; provide customer service support.
Load/unload cargo (boxed and palletized) on/off trucks utilizing vehicle/truck lift gates, forklift, pallet jacks and hand trucks; closely follow safety rules and proper procedures when utilizing equipment; deliver and/or pick up product, mail and supplies.
Maintain areas of responsibility in a neat, safe and orderly manner; maintain warehouse sanitation daily, maintain vehicle sanitation inside and out by keeping vehicles gassed and clean; keep battery operated equipment clean and charged.
Knowledge, Skills & Abilities (KSAs): |
Knowledge of:
• ADOT Policy Sup-6.03, Vehicle Assignment & Usage.
• Warehouse procedures & practices including safety, record keeping, packing/shipping/delivering/receiving and inventory control.
• Higher-level math, used for various reports, procedures and inventory.
• Computer programs and applications to post and track parts, inventory, and budgets.
Google Workspace.
Skills in:
• Checking product against invoices, packing slips and related documents.
• Maintaining inventory control reports.
• Operating computer programs, OIMS and internal web sites.
• Math, oral and written communication.
• Customer service and understanding customers' needs.
The operation of forklifts, pallet jacks, hand trucks, cargo vans, box trucks, pickup trucks and lift gates.
Ability to:
• Create orders in OIMS.
• Maintain stock levels by restocking shelves from bulk supplies.
• Open and close warehouse, secure vehicles and set alarm systems.
• Receive deliveries.
• Enter and retrieve information in OIMS, make inventory adjustments and transfer forms,
• Complete paperwork legible and enter data into computer accurately.
• Pick up forms and supplies weighing up to 50 pounds when necessary.
Organize, multi-task, follow up and follow direction.
Selective Preference(s): |
Five years of experience in warehousing is preferred.
Pre-Employment Requirements: |
Possess a valid Arizona Driver's License - Class D and retain during period of employment.
Employment is contingent upon passing a physical/medical examination.
This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
