The Executive Assistant to the Director’s Office is responsible for managing the administrative and technical process for the Director and Deputy Director (DD).

Job Duties:

Major duties will include:

- Function as gateway to the Director and DD, interacting and providing responses to queries from the Governor’s office, agency heads, legislators and the public, communicating orally and in writing on behalf of the DD, maintaining confidential files and gathering information and data, reading/proofing all incoming correspondence and mail to ensure appropriateness and accuracy for DD approval.

- Works independently with little supervision, coordinating with other staff in training. Exercise independent judgment, handles confidential information.

- Manages the administrative functions for the Director and DD and provides technical support. Assist with management of multiple meetings and priorities throughout the day, triages same. Schedules meetings with internal and external customers, maintains the calendar, review and triages calls, email and regular mail. Exercise signature authority with DD approval

- Coordinates meeting logistics for the DD, Executive Staff and Leadership Team meetings, as well as the Arizona Livestock Loss Board. Develops agendas, posts meeting notices and develops action items and minutes

- Coordinates in and out of state travel for the DD and Special Assistant the Director. Arranges extensive travel plans and prepares time and travel reports for submission to the Finance Unit. Assist with the monitoring and managing of the budget for the Director’s office

- Provides guidance, mentoring and coaching to other Director’s Office administrative staff, coordinating on various projects and assignments, while triaging the project and/or information and track same to ensure timely and accurate responses to the assignment

- Other duties as assigned related to the position

Knowledge, Skills & Abilities (KSAs):

The candidate must have knowledge of: the Department’s vision and mission and the Commission system; Arizona state government structure; administrative and organizational principles; management, business and public administration practices; state and federal rules and regulations; principles and practices of supervision; data gathering; protocol of communication with Arizona agencies, private sector organizations; protocols when coordinating internal and external meetings and events; laws and protocols of safeguarding, protecting and releasing information.

The candidate must have skill in: organization and planning; record keeping and file maintenance; proficiency in various computer applications; collaboration skills; oral and written communication; leadership skills; conflict negotiation; problem solving.

The candidate must have the ability: to work with diverse internal and external customers; manage a wide array of tasks, projects; maintain confidentiality; work independently; organize and manage a complex workload; direct, mentor, coach other staff members.

Pre-Employment Requirements:

Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
