Job Summary:

• This position will be responsible for assisting the DAS and Directors with planning, report preparation, and special projects, as well as preparing materials for trainings, presentations, ordering supplies, unit communication through email, phone, and online platforms, and office coordination.
• Rare in-state travel is required for this position.

The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs). Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.

Job Duties:

• Assist the Deputy Associate Superintendent and Directors with planning various special projects that include gathering data and information, compiling and arranging the information for administrative and technical reports and proposals
• Assist with developing monitoring and evaluation procedures for new and ongoing programs, as well as conducting research for special projects utilizing the Certification system, the Teacher Input Application, and other ADE databases as requested
• Assist the planning and coordination for unit trainings, presentations, and communication through email, phone, print, and online platforms
• Prepare and edit correspondence for trainings and presentations as well as special events or projects
• Assist with registration and evaluation of trainings and presentations, as well as generating and maintaining accurate records
• Manage ongoing events and presentations that may include travel procedures, procurement, printing, and coordination of calendars
• Assist with the unit's budget for the fiscal year; maintain accurate records, and follow agency processes for requisitions and Purchase Orders
• Coordinate office operations for the Phoenix and Tucson offices, including procurement, and purchasing office supplies
• Ensure maintenance and repairs for phones, computers, copier and printers; maintain accurate records
• Assist with preparation of funding proposals and grant applications when necessary
• Schedule meetings, process travel expense reports, and assist with Public Records Requests
• Assist with the develop of operating procedures, 1-pagers, and manuals for internal and external stakeholders that relate to the units of Certification, Educator Prep Programs, and Recruitment and Retention

Selective Preference(s):

Preference will be given to those applicants with:
• Knowledge of the Arizona State Statutes, Title 15, AZ State Board of Education rules and regulations pertaining to educator certification
• Understanding of current policies and procedures of the AZ Department of Education including:
o AZ state statutes (Title 15)
o AZ State Board of Education rules and regulations including Higher Education pertaining to educator certification

Retirement:
