The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a Full-Time Correctional Records Clerk II to perform difficult to complex clerical work regarding master record files, performing on researching and compiling data for reports and responses to inquiries.
This position also reviews and verifies certified court documents to determine inmate status as active, inactive , pending transfer, and distributes paperwork accordingly.

Job Duties:

- Closes out files of inmates who have completed their Arizona Department of Corrections, Rehabilitation & Reentry commitment and integrate institution release packet with the inmate file
- Pulls files for release processing, audits, reviews and as needed for Time Computation staff
- Annotates on Arizona Correctional Information System (ACIS)
- Establishes new offender record files
- Reviews court documents/audits automated system for accuracy of data input and processes the Process Intake Packets received from Reception Areas (Phoenix and Perryville)
- Annotates on ACIS, maintain Tracking Log, and daily counts of all incoming Intake Packets
- Files documents in chronological order in the master record four (4) sided file per ADCRR policy
- Files court documents and Intake Packets, by ACIS dates
- Files the documents in the designated area of forwarding to appropriate staff processing
- Responds to telephone inquiries for information, researches, and retrieve information for special projects
- Attends meetings, training, and trains & assist Correctional Records Clerk I
- Perform other duties appropriate to the assignment
- Drives on State business
- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- ADCRR policies and procedures pertaining to offender files
- State statutes pertaining to the release of information
- ACIS
- Alpha/numeric digit filing systems
- English usage and spelling
- Office practices and procedures
- Customer service
- Attention to detail
- Personal computers and software including Microsoft Office and Google Suite
- Outside agency rules and regulations for storage and retrieval of offender records

Skill in:
- Effective written and verbal communication
- Operation of a computer terminal, office machines, and equipment
- Monitoring the accuracy of offender records and documents
- Time management and organization of duties
- Critical thinking
- Interpreting time computation records for release dates

Ability to:
- Operate various office equipment including faxes, phones, scanners, and copiers
- Multi-task
- Learn through repetition, practice, and on-the-job training

Selective Preference(s):

- One (1) year of experience interpreting court documents and legal terminology
- Preferred for experience with ACIS
- Must have previous filing experience in an office environment
- Preferred for High School Diploma or General Education Development (GED)

Pre-Employment Requirements:

Employment is contingent on the selected applicant passing a background investigation.

Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
