The Department of Economic Security, Division of Benefits and Medical Eligibility, is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 2. Under the direction of the FAA Research and Analysis Manager, this position performs a variety of administrative work of considerable difficulty as required and deemed necessary to support Research and Analysis (R&A). This position applies detailed knowledge of the Department, Division, Administration, and Agencies organization, policies, procedures, and day-to-day problem-solving. This position works independently, applies critical thinking to general instructions, and manages a variety of projects, using word and data processing equipment and other automated office equipment.

Job Duties:

Essential Duties and Responsibilities include, but are not limited to:

  • Monitors and maintains multiple mailboxes and phone lines. Receives a high volume of medical emergency forms daily from field staff Statewide, which requires immediate action. Creates referrals through the PMMIS database to post medical eligibility with a prompt turnaround time.
  • Research and prepare reports; update and maintain spreadsheets and databases; answer multi-line phones; monitor fax servers, printers, MFP devices, etc.; fax, and scan documents that include confidential materials.
  • Monitor and track all action items to ensure timely and accurate completion and report progress to the Local Office Manager. Utilizes current software programs to complete assigned tasks or projects; authority to respond to any deadline and/or assignments when the Local Office Manager is not available.
  • Fields inquiries with external partners, such as the Department of Corrections, Department of Child Safety, and the Department of Child Services.
  • Conduct research for the Appeals Processing Unit on benefits pending hearing referrals. Create AHCCCS referrals to post benefits pending hearing. Track and document the high-volume time frames associated with that specific action item. Monitors for completion.
  • Coordinate and schedule work activities, meetings, presentations, conferences, and conference calls; prepare and distribute meeting minutes, weekly huddle notes; compile and prepare meeting agendas, materials, and reports; maintain supplies inventory.
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

  • Compose/create/maintain varied spreadsheet reports and correspondence.

  • Establish and maintain professional working relationships with staff and outside entities.
  • Problem-solve various issues and execute appropriate independent judgment
Selective Preference(s):

The ideal candidate for this position will have:

  • Two years of administrative experience.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period.
