Job Summary:

The Human Resources Operations Specialist ensures compliance and accuracy in essential HR Operations, including monitoring employee credentials, tracking and maintaining records of secondary employment, maintaining and auditing personnel files, and processing personnel actions. Additionally, this role serves as the primary point of contact for HR Procedure inquiries

Job Duties:
  • Monitor Fingerprint Clearance Card (FPCC) renewals
  • Track and maintain records of secondary employment
  • Serve as ASEDRA Coordinator by maintaining accurate driver record data, processing updates, and acting as the primary contact for program inquiries
  • Process AZ360 transactions-including personnel actions, data updates, and license or certification changes
  • Oversee the management of employee personnel files and ensure compliance with record retention schedules by conducting regular audits
  • Manage and respond to inquiries via various inboxes
  • Provide phone coverage as needed
  • Support special projects and assist with New Employee Orientation activities as needed
  • Perform other duties as assigned related to the position.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Thorough understanding of the full range of HR processes, including employee on-boarding, records management, compliance tracking, and personnel action processing.
  • Understanding of best practices for creating, maintaining, auditing, storing, and securely disposing of both electronic and paper personnel records.
  • Familiarity with HR information systems like AZ360 or similar platforms, including entering data, processing personnel changes, and navigating system features.
  • Experience organizing, reviewing, and securely managing important documents.
  • Office practices and procedures at a professional level.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint).

Skills in:

  • Strong organizational skills with the ability to manage multiple tasks, emails, and projects at once while meeting deadlines.
  • Strong written communication skills, including proper use of grammar, punctuation, and business vocabulary.
  • Independently identify and resolve issues, recommend solutions, and escalate problems when necessary.
  • Proficient in auditing records and processes, identifying inconsistencies or compliance issues, documenting findings, and recommending practical improvements.
  • Customer service skills with a responsive and courteous approach to inquiries and support.
  • Generating reports and creating Excel spreadsheets with formulas for data analysis and tracking.

Ability to:

  • Accurately track, review, and process large volumes of information and documentation.
  • Maintain discretion and confidentiality when handling sensitive information.
  • Work both independently and collaboratively in a team environment.
  • Adapt to changing priorities and demonstrate self-initiative in completing assignments.
  • Learn and apply new policies, procedures, and systems relevant to the organization.
