Job Summary:

This position is responsible for gathering all data needed for Federal draw reimbursements for ADOT expenditures, performs Federal grant reconciliations and submits Federal Financial Reports (FFR) as needed. The AR FMS team will not have enough employees to submit FTA and Non-FTA reimbursements for ADOT expenditures with separation of duties. This position is important to ensure ADOT receives the funds for the Grants awarded to ADOT to complete transits needs of our customers. Getting these expenditures reimbursed timely is one of our number one goals.


This position may be available for remote work within Arizona for a specific amount of days.

Job Duties:

Performs or assists with regular monthly grant project reconciliations between Arizona Financial Information System (AZ360), and federal
systems.

Prepares or oversees draw-down requests for Federal Reimbursements. Maintains control logs tracking draw requests.

Prepares and/or reviews quarterly and year-end Federal Financial Reports (FFR) for FTA and FRA.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- AZ360 statewide accounting system and various Federal systems.
- Verify proper budget and funding configurations for billing projects.
- Reviews and understands all revenues, expenses, and payments on projects.
- Process documents to allow projects to bill to proper funding sources.
- Accurately completes daily tasks. Produces accurate and timely standard or ad hoc reports.
- Provide information to other ADOT customers regarding grant projects.
- Microsoft Office, Excel, Word, Outlook, and Google Suite.
- Knowledge of ECHO, TRAMS and Delphi Federal systems.

Selective Preference(s):

Considerable understanding of automated financial accounting systems, spreadsheets applications and other analytical tools. A bachelor's degree in accounting or relevant work experience with Federal Grants.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
