About the role?

We are currently seeking a highly organised and customer-focused Branch Administrator – Repairs Scheduling to join our Repairs team. Reporting to the Repairs Manager, you will play a critical role in ensuring our customers receive responsive and efficient service while supporting the day-to-day coordination of repair works and field operations. 

Key responsibilities include:

  • Coordinating and scheduling repair works, ensuring resources, customer access requirements and site readiness are effectively managed. 
  • Liaising with customers to book works, communicate scheduling updates and ensure site-specific requirements, permits, inductions and work method statements are in place.
  • Managing and maintaining repair schedules and customer information within CRM systems. 
  • Providing operational support to field technicians by ensuring they have the information, materials and documentation required to complete repair works safely and efficiently. 
  • Processing work tickets, purchase orders, goods receipting, invoices and subcontractor documentation. 
  • Supporting contract and site administration activities, including maintaining data integrity within SAP and preparing customer correspondence and completion documentation.
  • Assisting with timesheet management, reporting activities and maintaining registers for company-issued equipment. 
  • Promoting and supporting a strong safety culture in line with Schindler's Health, Safety and Environment requirements.

What we are looking for?

To be successful in this role, you will bring:

  • Previous experience in scheduling, work coordination, repairs administration or maintenance coordination, ideally within the building services, construction or related industries.
  • Strong customer service and stakeholder management skills, with the ability to communicate effectively across all levels of the business. 
  • Excellent organisational skills with the ability to coordinate multiple priorities and work effectively in a fast-paced environment. 
  • Proven administrative experience with strong attention to detail and a commitment to maintaining accurate data and records. 
  • Experience using scheduling or CRM systems such as Simpro, MS Project or similar scheduling platforms. 
  • Intermediate to advanced Microsoft Office skills, particularly in Outlook, Excel and Word. 
  • Effective time management skills, a proactive approach to problem solving and the ability to work collaboratively within a team environment. 
  • A Year 12 qualification (or equivalent), post-secondary qualifications will be highly regarded.
