Job Description:

This position will coordinate activities and operations and perform work in support of the UToledo Edward Schmidt School of Professional Sales (ESSPS).

1. Prepare and reconcile monthly budgets, P-card allocations, and payment requisitions (university and foundation accounts)
2. Prepare, setup, run, cleanup, and follow-up after events/interactions with various vendors, colleagues, student volunteers, guests (student, corporate, faculty/staff, high school), etc
3. Coordinate, plan, and schedule appointments and itineraries; reply to or route inquires as appropriate; make reservations and handle catering for meetings, events, workshops, and conferences; and make travel arrangements for staff
4. Create, record, admin/host, and edit web cast presentations and/or web meetings for role playing, trainings, events, etc
5. Perform a wide variety of data entry utilizing various software; check and review data for completeness and conformance with established processes and procedures
6. Update and create marketing for various online social platforms, email, flyers, etc
7. Order and organize materials for office operations and events
8. Maintain department files and assemble information as needed
9. Assist in preparing reports (annual, Advisory Board, program engagement, etc)
10. Prepare correspondence including letters, forms, minutes, and surveys from handwritten drafts or notes or oral instruction
11. Perform other duties, related to the position, as assigned
12. Rare weekend work required 

Minimum Qualifications:

Education/experience/licensing required:
• High school diploma or GED and 1 year clerical and office experience OR vocational training/associates degree in administrative services or office management

• Ability to communicate and serve effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the University and business and academic communities
• Strong organizational skills: ability to prioritize and to work on numerous projects simultaneously; flexibility
• Commitment to accuracy and attention to detail
• Critical thinking and problem-solving skills, especially when navigating new challenges and opportunities
• Reliability and dependability, including on-time arrival and departure
• Ability to take instruction from multiple people
• Proficient in computer software including Microsoft Word, Excel, PowerPoint, and Canva
• Ability to learn new software programs

Preferred Qualifications:

Preferred skills:
• Familiar with SaaS management platforms (CRM and/or Association Management; Memberclicks preferred), web casting and knowledge management platforms (Teams and Mediasite preferred), virtual meeting platforms (Teams and Zoom preferred), survey platforms (Survey Monkey preferred), and social media platforms (LinkedIn, Instagram, Facebook, and X preferred).
• Knowledge of University policies, procedures and operations
