As an administrative assistant, you will support the office of academic services and departmental leadership— including the dean, associate vice president, executive director, and academic operations managers— in initiatives and ongoing collaborative projects. You will manage all mail, email, and fax correspondences that should be answered by departmental leadership and maintain an accurate file system for their records. You will oversee the calendars and schedules of department leaders, coordinate meetings— including the reservation of meeting spaces—and prepare agendas. You will also record and transcribe meeting minutes, coordinate quarterly faculty report submissions, and create drafts for departmental leadership approval.
In this position, you will manage classroom scheduling, housekeeping, and SCAD Days. You will manage office supply inventories and required equipment maintenance. You will greet scheduled visitors and direct them to the appropriate area or person; aid with end-of-quarter departmental duties, such as reminding faculty about syllabi, faculty comments, and final grades; and coordinate the photo documentation of outstanding student work with the communications team. You will support an assigned academic operations manager and help with university-wide initiatives such as the Operation Showcase, to highlight student achievements. You will maintain display spaces and coordinate with physical resources before SCAD Days, signature events, tours, and Spring Commencement.
The successful candidate will have excellent communication, organization, and multitasking skills. They should also have experience with Microsoft Office Suite software, specifically Word and Excel, Banner, or a similar database. The candidate should commit to discipline, honesty, and integrity.
Minimum Qualifications:
- Bachelor’s degree
- At least one year of relevant experience
- Experience with Microsoft Office Suite, Banner, or a similar software
Preferred Qualifications:
- Successful work experience in an academic environment
Certificates, licenses, and registrations:
- Valid driver's license
Travel required:
- Less than 10%
Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
