As a student employment coordinator, you will use Microsoft Excel to monitor, track, and analyze student employment data, then generate reports to support decision-making and compliance. You will manage new position setup in Banner, PageUp, and Guardian. You will also track updates, timesheet access, and position statuses. Among other duties, you will facilitate student onboarding and the completion of the I-9 process, meticulously tracking progress in JobX and Guardian. You will also lead I-9 group sessions for new student employees, clearly explaining SCAD-specific and federal policies related to work-study programs. Responsibilities include the management of online student employment vacancies to ensure they are regularly updated.
In this role, you will also serve as the department liaison, assisting staff, faculty, and students with employment questions and concerns. You will troubleshoot and resolve advanced timekeeping and payroll discrepancies in the web time entry system for the biweekly student employment payroll. Responsibilities include the development and implementation of best practices for the organization of files, reports, correspondence, and materials related to student employment in accordance with federal guidelines and university policies. Among other duties, you will process and administer all necessary applications and forms for position approvals to ensure accuracy and compliance. Additionally, you will ensure prompt, thorough, and accurate communication with students, university staff, and supervisors via email, telephone, and in-person interactions.
In this position, you will collaborate on workshop presentations, orientations, and other informational sessions for on-campus student employees. You will lead the approval process for new positions and hires, as well as the termination of employment, verifying that all documentation is complete and accurate. Among other duties, you will generate notifications to supervisors regarding students who no longer meet work-study eligibility requirements. You will coordinate and optimize processes for tracking supervisor vacancies, managing timesheet access, and updating positions to enhance efficiency and effectiveness. Responsibilities include participation in annual supervisor training seminars, completion of student employment verifications, and oversight of employment-related requests. You will also conduct regular reviews of student employment policies and procedures, recommending and implementing improvements as needed.
The ideal candidate demonstrates exemplary analytical, communication, and problem-solving skills. They also have excellent time-management skills, with a proven ability to meet deadlines and track and analyze data to generate reports. The candidate is customer service-oriented, pays close attention to detail, and stays organized in a fast-paced environment. They can manage multiple tasks simultaneously, adapt to shifting priorities, and troubleshoot technical issues.
Minimum qualifications:
• Bachelor’s degree
• Proficiency with Microsoft Excel
Preferred qualifications:
• Working knowledge of human resource principles, practices, and procedures
• Understands payroll systems and timekeeping software
• Experience in coordinating events
Travel required:
• Less than 10%
Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
