As an events planner, you will plan student, presidential, and academic conferences and community events to ensure the mission of the university is received. You will coordinate and implement multiple events simultaneously throughout the calendar year in various cities or states. Regularly, you will meet with the assistant director of events to receive and give updates on all assignments. Responsibilities include the creation of unique event ideas, concepts, and décor models; the maintenance of photo archives and inventories; and the organization of event supplies. Leadership and attendance is required for event meetings with all necessary participants. You will also communicate SCAD standards to clients. Additional responsibilities include the development of project plans, production timelines, and budgets.

In this role, you will oversee appropriate marketing and public relations for events. Among other duties, you will collect RFPs, quotes, and estimates from vendors and coordinate all print, visual media, social media, and web related requests. In tandem with the physical resources team, you will coordinate space reservations, housekeeping, grounds, transportation, and security. Coordination with city departments to request police and ensure all city ordinances are followed is necessary. Responsibilities include the submission of application paperwork for permits or temporary licenses and the oversight of volunteers.

In this position, you will develop ideas for and identify sources for gifts and giveaways. Similarly, you will locate, order, and install all floral décor for events. You will also research and reserve entertainment. Attending each assigned event — during which you will interact with guests — as a host and quality representative of SCAD is required. Additionally, you will promptly complete all event-related financial paperwork, including purchase requisitions, employer classification category forms, and more.  

The ideal candidate demonstrates excellent communication, time management, and client follow up skills. They are comfortable working in a fast-paced environment and can manage several task simultaneously. The candidate is highly motivated, positive, and a flexible self-starter who works well in a team. They can create measurable outcomes for each program they manage and are knowledgeable on the latest design trends and change makers.

Minimum qualifications:      

  • Bachelor’s degree
  • At least five years of related experience in events or conference coordination
  • Experience in or knowledge of planning virtual events
  • Proficiency in Microsoft Office software
  • Ability to work weekends and evenings and travel to all SCAD or signature event locations

Preferred qualifications:      

  • Vendor management experience

Certificates, licenses, and registrations:  

  • Valid driver's license with reliable transportation 

Travel required:  

  • 20–40%  

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
