As an assistant to the vice president (VP) for student success, you will ensure efficient and effective daily departmental operations. Within the student services administration team, you’ll play a critical role in meticulous coordination, system and process management, and planning to support complex schedules, communications, and project implementation. While carrying out your responsibilities, you’ll uphold the highest standards of professionalism and communication and demonstrate an unwavering dedication to quality, consistency, and discretion.
To support student success, you’ll:
- Provide executive-level administrative support to the VP
- Maintain the VP's calendar, meeting and travel schedules, and purchases and expense reconciliations
- Coordinate travel arrangements, transportation, and accommodations
- Manage and prioritize incoming and outgoing communications (i.e., email, phone, and written correspondence) on the VP’s behalf
- Proofread and edit all documents originating from or passing through the VP's office
As an assistant, you’ll:
- Compile and run daily reports, gather information for weekly reports, and create a final report for the VP to review
- Serve as the VP’s primary point of contact, handle all inquiries with professionalism and discretion, and escalate matters as needed
- Independently prioritize and research matters addressed to the VP
- Handle general office duties including work orders, computer and phone requests, and key and security requests
- Train new department members
Additionally, you will:
- Regularly review the student success budget to ensure fiscal compliance
- Manage the log of nonacademic appeals and complaints
- Ensure the VP's availability and preparation for interviews and meetings (e.g., pre-reviewing candidate materials and briefing the VP)
- Participate in ongoing professional development (e.g., technology training and skill-building to enhance performance, professionalism, and adaptability)
- Manage department leave and vacation requests
Strong candidates will demonstrate:

- Exceptional organizational, problem-solving, and project management skills
- A strong attention to detail
Minimum qualifications:
- Bachelor's degree; at least one year of related experience and training; or an equivalent combination of education and experience
- Proficiency with Microsoft Office Suite, Salesforce, Cognos, Concur, Dropbox, Google Drive, and calendar management
- Previous experience handling confidential matters
Travel required:
- Less than 10%
Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
