Position Summary: The student Office Assistant - Washburn Leadership Challenge Event (WLCE) Materials Coordinator provides clerical support and assists with projects for the Aleshire Center for Leadership and Community Engagement, chiefly pertaining to WLCE materials. They will perform a combination of routine and non-routine tasks that require on-the-job training and/or specialized skills. They should gain above average knowledge about the WLCE and support full-time professional staff in tasks of the WLCE for approximately six hours per week in the fall in addition to other office tasks. It would be expected that the student would continue through the spring semester and provide approximately 10 - 15 hours per week until WLCE. They will show professionalism, dependability, and have good communication skills.
Essential Functions:
-Provide direct clerical support to the staff of the Aleshire center and the WLCE Fellow.
-Provide customer service to students, visitors, staff, and faculty.
-Input, edit, and maintain data in major Microsoft programs and the S:drive.
-Thoroughly examine and adjust documents for errors or updates as they pertain to the current WLCE simulation.
-Attend various meetings regarding the content and overall management of WLCE tasks.
-Responsible for the organization of all printed documents for the entirety of WLCE for students, teams, and volunteers.
-Represent the Aleshire Center at recruitment and/or enrollment events as requested.
-Responsible for daily office tasks (answering phones, making copies, greeting guests, cleaning office space, preparing mailings, etc.).
-Serve as a campus resource for other students.
-Perform additional job-related duties as assigned.
Availability requirements:
-At least 2+ hour increments of availability between 9:00am and 4:30pm, totaling at least 6 hours per week in the fall, and approximately 10-15 hours in the spring.
-Work and attend meetings over Winter Break as needed.
-Attend WLCE training on February 7, 2026 (9:30am - 11:30am) and February 9, 2026 (3:00pm - 5:00pm)
-Assist with the WLCE orientation on February 26, 2026 (approximately 1:001am - 4:30pm) and simulation on February 27, 2026 (approximately 6:00am - 5:00pm)
-Work in the Aleshire Center student office as required - will be scheduled with Office Coordinator.
Non-Essential Functions:
-Provides indirect support to student leadership of the Aleshire Center.
-Conduct internet research when requested.
Required Qualifications:
-Must be a current Washburn University student.
-Skilled in programs such as Microsoft Word, Microsoft Excel, Canva, and able to learn other programs as needed.
-Be able to manage time to complete necessary tasks.
-Must be able to maintain confidentiality of sensitive information.
-Effective communication and writing skills, - grammar, spelling, punctuation, and proofreading for corrections with timely replies.
-Ability to demonstrate professionalism and initiative and work independently on assigned projects.
-Willing to learn about the Aleshire Center's curricular and co-curricular programs, and projected activities of the Aleshire Center.
Preferred Qualifications:
-Familiar with Microsoft Word, Excel, Publisher, PowerPoint, Canva, and other software programs currently popular with social media as well as editing documents and photos.
-Strong sense of organization and a detail-oriented nature.
-Quick decision making and logical problem-solving skills.
-Plan to be involved in the Aleshire Center for Leadership and Community Engagement.
-Familiar with the WLCE as a past participant or volunteer.
