  • Salary Classification: Admin Officer Level 3 Yr 1-2.
  • Remuneration: $34.46-$35.54 per hour + superannuation + annual leave loading + salary packaging options.

THE ROLE:

The Medical Centre Front Office delivers essential services to outpatients, hospital staff, and members of the public. The Administrative Officer plays a key role across both the main reception counter and front office, with responsibilities including patient arrivals, appointment scheduling, and patient registration. While duties are carried out in line with established procedures, the role requires sound practical judgment and the ability to seek guidance from the Manager when necessary. Flexibility is essential, as the position may involve working additional hours on weekdays and providing coverage during staff absences. While the role is primarily for two days per week, availability across all five weekdays is preferred to accommodate departmental needs.

DUTIES:

  • Attend to all persons presenting to the department in a professional manner displaying courtesy and efficiency in all matters.
  • Answer phones in a courteous and professional manner, delivering messages as appropriate, and ensuring that calls are transferred appropriately when required.
  • Refer any in person or telephone enquiries of a clinical nature to the NUM of the Medical Centre or clinical department as appropriate.
  • Use multiple systems to complete work including the iPM patient administration system, ARIA Medical Oncology System, ARIA Radiation Oncology system and the CAP Clinical Application Portal. Uphold Privacy principles in all work related matters. This role will have access to detailed patient and organisational information which must never be divulged unless in the course of confidential and appropriate work related discussions. Never access records or information not required to do your job.

ABOUT YOU:

  • Demonstrated experience providing administrative services to patients in a frontline role.
  • Demonstrated effective interpersonal skills and professional presentation.
  • Good computer keyboard skills and attention to detail.
  • Proven ability to work both independently and as a member of a team.
  • Ability to undertake multiple tasks and to operate efficiently in a busy environment.
  • Understanding of Confidentiality requirements in a hospital setting and as they would apply to patients.
  • Basic knowledge of medical terminology.
