  • Remuneration: $40.51 - $41.47 per hour + superannuation + annual leave loading + salary packaging options + RDO's. 

THE ROLE:

The Executive Assistant position is a full-time role, requiring 8 hours of work per day. This position is primarily responsible for delivering high-level administrative and organizational support to the Director of Nursing and Clinical Services (DNCS) as well as the broader Executive team. The role involves providing executive assistance to ensure smooth operations and effective communication within the team.

DUTIES:

  • Extensive experience with diary management, preparation of agenda, organisation of complex meetings, including minute taking, typing, collating, distributing and follow up of action items. Proven high level organisational skills including the ability to effectively prioritise workload and meet deadlines in a tight time frame.
  • Using and managing a range of administrative and operational systems such as rostering, incident reporting, and information management platforms.
  • Oversee Senior Nursing recruitment and rostering processes under the direction of the Director of Nursing and Clinical Services (DNCS).

ABOUT YOU:

  • Demonstrated experience providing administrative support at an executive level in a complex healthcare setting.
  • High level communication skills and problem-solving ability with a proactive solutions-based approach.
  • Well-developed interpersonal skills, including the ability to build and maintain effective relationships with a range of internal and external stakeholders, including senior executives and external partners.
  • Demonstrated high level of professional integrity with proven ability to exercise judgement and discretion when dealing with sensitive/confidential information.
  • Extensive experience with diary management, preparation of agenda, organisation of complex meetings, including minute taking, typing, collating, distributing and follow up of action items. Proven high level organisational skills including the ability to effectively prioritise workload and meet deadlines in a tight time frame.
  • Proven proficiency in using PC based software including advanced level of proficiency using Microsoft Office Suite (word processing, spreadsheets, databases and graphics) and network operations. Ability to draft correspondence, reports and submissions with previous experience preparing presentations and documents for conferences and education sessions.
  • Demonstrated experience in effectively using and managing a range of administrative and operational systems such as rostering, incident reporting, and information management platforms.
