Job Summary

Reporting to the Associate Dean of Student Records/Registrar, serves as a member of the Student Records Office team to provide courteous, efficient and accurate information and service to faculty, staff, students and the public regarding all records and registration information. 

Job Duties:

  • Processes all transcript requests for students within 24 hours. Transcript request processing includes verifying general education requirements, accurately validating Legacy work, maintaining requests received thru the National Student Clearinghouse and office mail, and completing cash transmittals for money collected.

  • Updates and maintains student records by posting academic bankruptcy, repeat options, grade changes, Incomplete grades, AP, STEP and other articulated credits and test credits to the official transcript as needed.

  • Responsible for updating program plans as requested by students.

  • Responsible for running the course auditor to check for program applicability errors and working with other offices to resolve any errors.

  • Processes all enrollment verifications received through the National Student Clearinghouse.

  • Processes all no show lists each semester.

  • Works with other Record Office staff as back-up for office coverage and in monitoring the BL student email. Always follow the customer service guidelines established for the office and abides by the guidelines of FERPA.

  • Assist students with the registration process and troubleshoots registration issues for faculty, staff and students.

  • Assists with graduation audits and the posting of credentials.

  • Resolves duplicate id issues, completes the tuition calculation error report and validates legacy work as needed for re-admitted students for BCTC and other KCTCS colleges.

  • Responsible for CPE data cleanup for students in unapproved plans each semester.

  • Serves as back up to entering course schedule, responding to Anthology tickets, processing academic bankruptcy requests and employee waivers.

  • Process universal student records duties as assigned.

  • Participates in professional development as time and resources allow. Completes all required KCTCS training modules and attends KCTCS and BCTC trainings as needed.

  • Serves on college committees if requested and performs other duties as assigned by the Associate Dean of Student Records.

Minimum Qualifications:

High School Diploma and 3 years of experience or equivalent 

Preferred Qualifications:

Associates Degree and 4 years experience or equivalent
