The Part-Time Administrative Assistant provides comprehensive administrative and operational support to the Manufacturing and Transportation divisions. The role supports scheduling, reporting, and student- and faculty-facing processes to ensure smooth academic operations.
Job Duties:
Scheduling & Academic Operations
• Process CourseDog schedule changes and course cancellations in accordance with established procedures • Notify students and advisors and assist with student moves as needed • Conduct initial review and cleanup of upcoming semester schedules
Reporting & Data Support
• Prepare weekly live class count reports, including analysis of enrollment trends and low-enrollment courses • Generate faculty load reports and identify potential overloads • Complete additional reporting tasks as assigned
Administrative & Office Support
• Assist with book ordering and maintain division records • Manage and respond to inquiries in the Manufacturing & Transportation inbox • Maintain Microsoft Bookings pages • Coordinate logistics for meetings and events • Monitor division budgets and manage office supply inventory under supervision • Perform other duties as assigned
Minimum Qualifications:
Associate's degree or equivalent
1–2 years of administrative, clerical, or office support experience
Ability to work independently with minimal supervision
Strong organizational skills and attention to detail
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Effective verbal and written communication skills
Demonstrated ability to work collaboratively with diverse student populations, faculty, and staff
Proficiency in Microsoft Office applications, including Excel, Outlook, Teams, SharePoint, Word, and Forms
Ability to handle confidential and sensitive information with discretion
Preferred Qualifications:
Prior administrative or clerical experience
Experience working in a community college, higher education, or workforce training environment
Familiarity with academic scheduling systems, reporting tools, or student information systems
