Job Duties

Outline of Basic Duties:
• Answer telephone with three incoming lines, route calls, and take accurate messages as
needed. Phone coverage is crucial and is a priority for reinforcing the image of the House
Appropriations Committee as knowledgeable and responsive to requests for assistance.
• Greet in person visitors and provide assistance/information as requested.
• Advise HAC Staff if someone wants to see them. Be pleasant at all times… but always control
the flow of traffic to Legislators’ and staff offices.
• Proficiency with computers, office equipment, the Internet and Microsoft Office is required.
• Help staff analysts with details for all subcommittee meetings, as requested, i.e., making
copies, meeting room set-up, etc.
• Maintain office equipment and supplies.
• Assist with preparations for Committee meetings.
• Monitor and track Legislative Bills as they are assigned to the Committee.
• Other duties as assigned by the Office Manager.

Minimum Qualifications

Qualifications:
• It is critical that the Administrative Assistant is a committed team player and willing to assist
in any way.
• Previous administrative support experience in a fast-paced office environment is required
along with strong communication (both oral & written), data entry, research, organizational,
editing/proofreading and customer service skills as well as being a quick learner, thinker, and
problem solver.
• Will act as a goodwill ambassador and gatekeeper for the Appropriations Committee and
present a positive first impression while always greeting everyone with a smile so that visitors
feel welcome.
• Needs to be flexible in the work schedule. In addition to the normal daily coverage, it is
sometimes necessary to stay beyond regular working hours with little notice, or to work
occasional weekend hours during the Session’s busiest periods.
• Should be able to prioritize daily tasks (both planned and unexpected) and finish assignments
within the required time available with minimal supervision.

Additional Considerations

• The House Appropriations Committee (HAC) has a full-time nonpartisan staff of 10 – the Staff
Director, eight Legislative Fiscal Analysts and the Office Manager.
• Once the General Assembly is in Session, the pace becomes frantic at times…schedules can
seldom be planned in advance.
• The position requires calm and focus as well as a high energy level, the ability to retain
information in strict confidence and sensitivity to an environment in which everyone works
long hours under a series of non-negotiable deadlines unique to the General Assembly and
the House Appropriations Committee.

This is a seasonal/hourly position with a start date of October 28, 2024 and an end date of March 2, 2025 (end date subject to change depending on business needs).
