Organizational Objective:  To provide opportunities for higher education for all people regardless of their socio-economic status, race, sex, age, religion or national origin by identifying and accepting students with academic promise.  Students are admitted whose education, preparation, aptitude and achievement and motivation combine to indicate a reasonable probability of success in one or more of the university' schools.

Purpose of Position: Serves as a primary data entry operator for the Admissions Office. Accurately enter data from numerous types of source documents including the undergraduate and non-matriculation applications. Provide professional customer service to all students, prospective students, parents, faculty, staff and the general public via telephone, e-mail, fax, walk-ins and counter assistance.

KSA’s and or Competencies required to successfully perform the work:  Possess experience in the performance of various office services support duties. Demonstrated knowledge of effective customer service. Demonstrated ability to prioritize work and make workflow decisions independently. Experienced in a clerical administrative setting.

Education, Experience, Licensure, Certification required for entry into position:  High school diploma

Core Responsibilities:

  • Expectations are clear, well communicated, and relate to the goals and objectives of the department.
  • Staff receives frequent, constructive feedback, including interim evaluations as appropriate.
  • Assists staff in obtaining the necessary knowledge, skills and abilities to accomplish goals.
  • EWPs and Evaluations are completed by established deadlines with appropriate documentation.
  • Performance issues are addressed and documented as they occur.  Supervision is conducted and documented regularly and complies with any statutory requirements.
  • Encourage a safer work environment and the reduction in employee work-related and non-work-related lost time
  • Independently plan and coordinate the complex business processes associated with undergraduate admissions application operations for a designated population.
  • Provide guidance to the general public, as well as internal constituents, and resolve concerns associated with admission to the University and domicile determination as well as, other University services which are interrelated to admissions (i.e. New Student Orientation, Financial Aid, Housing, tuition and fees and other student services).
  • Respond to a variety of inquiries and resolve problems.
  • Dispense information in clear, concise terms and discuss specific issues in an individual setting.
  • Provide intake counter coverage, as needed, for students, parents and other constituents.
  • Mail notification letters requesting missing documents necessary to complete admission process.

  • Ensure all actions taken enhance the operating proficiency of the Admissions office.
  • Interpret and apply knowledge of policies and procedures of the University, SACS, SCHEV and all other applicable sources when performing business functions (which must occur to accomplish departmental goals).
  • Process applications and credentials ensuring 90% accuracy in all data-entry fields for accuracy and correct errors from application upload.
  • Research and analyze authenticity of credentials and utilize independent judgement when determining if documents are official.
  • Enter all incoming Common Black College Application data, transcripts, test scores, recommendations and comments into Recruit and Colleague within 10 business days of receipt (15 business days during peak times).
  • Review submitted Supplemental Items in Recruit.
  • Accurately code applicant status in Recruit and Colleague, ensuring files ready for an admission decision are marked Ready for Review.
  • Complete Certificate of Advanced standing for all Dual Enrollment applicants and enter approved departmental transfer credit into Colleague.
  • Keep accurate alphabetical filing system on all applications, transcripts, test scores and other data related to admissions process.
  • Ensure that all applications and credentials are scanned and filed accurately into Keyfile.
  • Documents should be in student’s Keyfile electronic folder and paper files within 10 business days of being entered into Colleague (15 days during peak times).
    • Manage inventory.
    • Participate in campus activities and events such as registration, open houses and orientation sessions.
    • Maintain an acceptable work schedule. Supervise work study students.
    Other duties within the scope of the position as assigned by the supervisor.
