Job Duties

Position provides clerical and admin assistance and support to the academic teachers, vocational teachers, librarians, and education administration with meeting the individual educational needs of the students including in college programs correspondence to the Principal. Additionally, to meet the standards defined under the Commonwealth’s statues and program certification requirements. Updates and maintains records, files, and automated databases. Provides administrative and clerical support to the unit or school office in an efficient and professional manner. Assists classroom teachers with GED and TABE test scheduling, which includes preparing and mailing out of Testing Notices. Remains up to date with college correspondence procedures. Assists Principal with request forms from inmates concerning college correspondence. Processes Correspondence Course Approval Forms. Processes college course mail for the inmates and acts as liaison between inmates and college advisor. Assists all educational staff with maintaining accurate records and files. Uses computer and appropriate software to maintain learner records, lists, inventories, reports, etc. Maintains documentation of professional development in employee file. Assists librarian with cataloging, circulation, and book delivery as needed.

This is a wage position limited to working no more than 1,500 hours per agency during the 12-month period of May 1 – April 30, regardless of the hire date. The wage employment period resets on May 1 of the following year. All wage employees are limited to working no more than 29 hours per week on average over the 12-month period. This wage position offers no state benefits.

Minimum Qualifications

High School Diploma or equivalent. Experience in an administrative support role. Ability to provide assistance and communicate to both internal and external clients. Experience and knowledge of Microsoft Office Suite. Recent experience using office equipment (i.e. computers, printers, copier, and fax machine). Experience managing an automated database other than Microsoft Office. Ability to prioritize work, meet deadlines and complete tasks in a timely manner. Experience setting up automated and manual filing systems. Experience preparing routine reports.

Additional Considerations

Advanced knowledge, coursework, training in office administration or experience in a related field. Working knowledge of policies and procedures related to records maintenance and processes.
