Job Duties

This is an hourly/wage position and is limited to 1500 hours within a 12-month period/average 29 hours per week. This position is not eligible for the state benefit package.

The position is located at 1992 S Military Highway, Chesapeake, VA.

The Hampton Roads District is seeking a motivated and experienced Administrative Assistant to provide administrative support to the Construction Branch. Receive information, compile and prepare specific responses and reports. Routinely handle mailings, phone calls, in-person contacts and correspondence from agency personnel, citizens and government officials. Make purchases and handle invoicing from contractors and vendors within allowable Agency guidelines. Process requisitions, travel, reimbursements and small purchases. Develop and update spreadsheets, databases and financial reports. Produce time-sensitive monthly reports for overtime, manpower, project status and other construction functions as required.

Competitive candidates will have an established and proven background in providing excellent customer service and the ability to manage multiple tasks with differing and competing deadlines.

Candidates should be excellent communicators and have the ability to manage multiple systems that support cross-functional business needs as well as the ability to work independently as well as in a team environment.

Minimum Qualifications

• Experience with Microsoft Office Suite.
• Experience analyzing data.
• Working knowledge of data entry and spreadsheet use.
• Ability to manage multiple tasks and prioritize accordingly.
• Ability to follow oral and written instructions and work independently.
• Ability to think independently and draw relevant conclusions.
• Ability to communicate effectively orally and in writing.
• Valid driver’s license.

Additional Considerations

• Extensive experience with spreadsheets, databases, SharePoint, and word processing.
• Combination of training experience or education in public administration, business administration or finance or a related field desired.
