Job Duties
The Office of the Executive Secretary, Supreme Court of Virginia, is seeking a full-time Office Services Coordinator to perform administrative and organizational duties in a fast-paced, high-profile office, and to provide administrative support to the Senior Justices of the Supreme Court of Virginia.
Essential Duties & Responsibilities –
The Office of the Executive Secretary, Supreme Court of Virginia, is seeking a full-time Office Services Coordinator to perform administrative and organizational duties in a fast-paced, high-profile office.
Duties include assisting the Executive Assistant in the execution of Court functions, including meetings, investitures, and ceremonial events; providing support and hospitality services for the Justices, staff, and meeting attendees; management and stocking of the supply room, including submitting orders; managing office equipment and equipment supplies; providing back-up to the receptionist with regard to opening and sorting large volumes of mail and answering a multi-line switchboard; and other general office duties as needed.
This position will also provide administrative support to the Senior Justices of the Supreme Court of Virginia. Duties may include the tracking and preparation of general office correspondence, calendar management; receptionist duties; managing case filings; routine correspondence, and other office duties, as needed.
Minimum Qualifications
This individual should possess strong word processing skills and the ability to edit and create visual elements for office flyers and newsletters. The successful candidate will have excellent organizational and problem-solving skills and should demonstrate successful experience in providing customer service functions. The ability to deal professionally with persons at the highest level of state government, including judicial and legislative leaders, is critical. Strong knowledge of general office procedures and the ability to act as a liaison for other entities interfacing with the Supreme Court are important. Strong interpersonal skills and the ability to work rapidly under short deadlines are also necessary.
Additional Considerations
Additional Information – The successful candidate must have the ability to lift and move objects weighing up to 50 pounds; must provide their own reliable transportation, which will be used to perform errands outside of the office, some of which may need to be performed outside of normal business hours.
Preferred Qualifications/Experience – Bachelor’s degree and experience in a court or legal setting are preferred.
