Job Duties

1. Performance Management
• Serves in a lead/supervisory capacity and conducts performance management activities for staff
• Establishes and reviews work assignments and priorities, and resolves related supervisory issues, in conjunction with program management and Human Resource staff
• Ensures relevant training and workplace safety for staff and conducts appropriate performance monitoring and appraisals

2. Asset & Service Management
• Manages the daily processing of asset and service requests, ensuring fulfillment and delivery to internal stakeholders.
• Serve as the initial escalation point for IT Asset Management issues.
• Manages ongoing procurement, assignment, refresh, renewal, and removal of IT assets.
• Maintains service catalog, service requests, and knowledge base articles in ServiceNow.
• Performs IT Consumption Planning.
• Responds to incidents, service request tickets, hardware and software requests and other client needs as required within established SLA's.
• Processes requests for hardware and software provisioning, including assigning and deploying licenses to end-users.
• Manages the processes associated with the recovery and return of assets including hardware, software and computer accessories and ensures the proper decommissioning or redeployment of assets.
• Maintains up-to-date asset records, including asset requests and actions in ServiceNow platforms, ensuring data accuracy for all assets under management.
• Manages on-site inventory of IT hardware and accessories, ensuring accurate records of stock levels; manually counts and updates inventory sheet every week; ensures maintenance of Madison building storeroom.
• Ensures accurate and up-to-date records in the ServiceNow platforms.
• Develops and implements best practices for tracking and managing IT assets throughout their lifecycle.
• Documents policies, processes, and procedures in ServiceNow.
• Performs regular inventory checks and reconciliations to ensure data integrity.

3. Compliance Management & Auditing
• Enforces and adheres to IT Asset Management policies, standards, and processes in line with organizational objectives.
• Conducts regular audits of IT assets, ensuring compliance with VDH and VITA policies, licensing agreements and regulatory requirements.
• Identifies discrepancies and non-compliance issues through audits and provides recommendations for remediation.
• Maintains an accurate and up-to-date inventory of hardware assets/software licenses, installations, and entitlements.
• Coordinates the provisioning and deployment of IT assets, ensuring alignment with business needs and approval processes.
• Oversees the retirement and decommissioning of unused or outdated software, ensuring proper record-keeping.
• Prepares detailed audit reports and presents findings to senior management.
• Monitors and tracks IT asset lifecycles, including acquisition, deployment, usage, and retirement, ensuring all assets are appropriately accounted for.
• Identifies and reports any discrepancies in asset records, addressing non-compliance issues and ensuring timely resolution.

4. Cost Management & Vendor Liaison
• Analyzes asset utilization to identify opportunities for optimization and cost reduction.
• Provides recommendations to improve asset management practices and achieve cost savings.
• Prepares detailed reports and dashboards on asset performance, utilization, and financial impacts.
• Collaborates with vendors to ensure the timely provisioning of IT equipment and builds relationships to support operational needs.
• Tracks contract renewals, lease agreements, and vendor performance metrics.
• Manages vendor contracts related to IT assets, ensuring compliance with terms and conditions.
• Collaborates with software vendors to ensure compliance with licensing agreements and obtain the best value for the organization.
• Continuously assesses and improves IT asset management processes to enhance efficiency and effectiveness.
• Stays current with industry trends, emerging technologies, and best practices in IT asset management.
• Acts at the liaison to VITA regarding IT Asset related requests and topics.

Minimum Qualifications

• Experience providing effective management projects, teams, and individuals to accomplish complex tasks and achieve objectives.
• Strong professional-level written and verbal communication skills.
• Knowledge of VITA policies and procedures related to IT Support and Asset Management.
• Proficiency in utilizing ServiceNow ITSM for planning, tracking, and managing IT processes.
• Expertise in Microsoft 365 applications, including Outlook and Teams.
• Ability to plan, measure, and report on activities and performance metrics using tools such as ServiceNow, Microsoft Excel, and Microsoft PowerPoint.
• Experience with IT asset management practices and maintaining asset management databases.
• Ability to collaborate with third-party vendors to execute PC refresh activities across multiple worksites or locations within an enterprise organization.
• Considerable experience supporting the asset management needs of the Commonwealth of Virginia.
• Experience managing IT assets using KeyStone Edge and ServiceNow

Additional Considerations

• Experience working with VITA and familiarity with related systems, policies, and procedures.
