Job Duties
The Executive Administrative Assistant to the Dean of the School of Education requires exceptional organizational skills, meticulous attention to detail, excellent communication abilities, sound judgment, and the ability to handle confidential information with discretion. The Executive Administrative Assistant will manage complex schedules, coordinate projects, serve as a primary point of contact, and proactively anticipate the needs of the Dean.
The successful candidate will be expected to:
- Screen and prioritize incoming communications (phone calls, emails, mail), drafting responses or directing inquiries appropriately and efficiently.
- Take and transcribe meeting minutes, track action items, and follow up on their completion.
- Maintain organized electronic and paper filing systems, ensuring easy access to information.
- Serve as the primary point of contact for the Dean's Office, interacting professionally and diplomatically with faculty, staff, students, alumni, donors, and external stakeholders.
- Prepares cost estimates for budget recommendations.
- Provides regular budget reports for control of expenditures.
- Plan and coordinate meetings, conferences, workshops, and other events hosted by the Dean's Office, including scheduling, venue arrangements, catering, technology support, and material preparation.
- Assist with administrative tasks related to faculty affairs, such as promotion and tenure processes, search committees, and onboarding new faculty.
- Support the Dean in the development and implementation of School of Education strategic plan goals, policies and procedures.
- Collaborate with other administrative staff within the School of Education and the university to ensure efficient operations.
- Assist with the preparation of accreditation reports and other institutional documents.
Minimum Qualifications
- High School Diploma or GED Equivalent
- Minimum of 3 years of progressively responsible administrative support experience.
- Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, including strong grammar, proofreading, and editing abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and technologies.
- Ability to exercise sound judgment and discretion in handling confidential information.
- Excellent interpersonal skills and the ability to interact effectively with a diverse range of individuals.
- Proactive and resourceful with a strong problem-solving aptitude.
- Ability to work independently and as part of a team.
Additional Considerations
- Associate’s degree with an emphasis in project management or equivalent experience through military service.
- Experience working in a School of Education or a similar academic unit.
- Familiarity with university enterprise systems (e.g., student information systems, financial systems).
- Experience managing budgets and processing financial transactions.
