Job Duties

Virginia Military Institute is accepting applications for a full-time classified staff employee to serve as the Budget and Planning Analyst working in the Finance and Budget Office, reporting to the Assistant Director of Finance and Budget. The successful candidate will be responsible for planning, developing, managing, and administering programs that support the preparation of the VMI Operating Budget. This position also provides support to the Director of Finance and Budget, Planning Officer and Government Relations Officer within the F&S Office (Finance and Support).


Essential Responsibilities and Duties:
• Preparation of budget development worksheets. Compile all information and data needed to support the preparation of the annual operating budget. Work with the Financial Accounting Department to ensure all capital and non-capital expenses are captured accurately for financial statement preparation.
• Review and analyze the contingency and departmental expenditure accounts monthly.
• Prepare budget worksheets for entry into Colleague at the beginning of each budget year. Make budget entries and adjustments throughout the year as needed. Access to the State budgeting system will be given as well to assist in budget adjustments to the State.
• Respond to Departmental budget inquiries and assist departmental staff in understanding/administering their budgets. Serve as backup to the Director and Assistant Director of Finance and Budget on budgetary matters.
• Maintain worksheets to assist the Planning Officer in tracking project expenses and Architect & Engineering (A&E) contract expenses by year and project. Assist in completion of paperwork, A&E contracts, receiving reports, requisitions, and expense tracking for reporting purposes.
• Accurately track and record all ETF (Equipment Trust Fund) requisitions and purchases for reimbursement submittal to the State at the end of the cycle. Responsible for gathering departmental “wish lists” for each new fiscal year.
• Assist Government Relations Officer in organizing and setting up lodging, transportation, and meals for the Legislative Reception in Richmond.
• Other duties as assigned.

Minimum Qualifications

• Experience in higher education or accounting
• Ability to create and maintain Excel worksheets
• Exceptional interpersonal abilities with a strong team orientation and communication skills
• Excellent written and oral communication skills
• Ability to collaborate with other departments to achieve positive results
• Excellent time management and organizational ability

• Ability to multitask and meet constant deadlines

Additional Considerations

• Associate’s or Bachelor’s degree in Accounting, Business, Finance, or related field
• Experience with Ellucian Colleague
