Job Duties

The Virginia Museum of Fine Arts is seeking a highly organized and proactive Temporary Exhibitions Program Assistant to support our Education Programs team. This is a temporary, part-time position, essential for the successful execution of our upcoming Special Exhibition programs. The ideal candidate is a detail-oriented professional with a passion for the arts and a talent for managing a diverse range of tasks, from tracking budgets and contracts to coordinating VIP experiences and developing promotional materials. If you are a collaborative team player eager to contribute to a dynamic and mission-driven environment, this role offers a unique opportunity to gain hands-on experience in museum programming and event logistics.

This is a temporary, part-time non-exempt position that has no benefits. The position would run approximately 32 weeks. (funding dependent.)

Responsibilities:
Assisting the Education Programs Manager in organization and tracking all Special Exhibition programs.

Tracking budget, contracts, and VIP guest lists for dinners and programs.

Planning and scheduling meetings.

Adding programs and events to Asana for online content.

Assisting with writing content for and marketing, promotional, and social media materials.

Working with the Marketing & Communications Department to help with the social media plan.

Assisting the Adult Programs Coordinator with function plans and work plans for programs.

Creating pre-show PowerPoints.

Attending programs and overseeing ticket taking and seating for VIPs.

Work with Teen Programs Coordinator to develop and run focus groups in the fall and assist with development of exhibition related teen event in the spring. Assist Performing Arts coordinator with select exhibition related First Fridays and Dance After Work events.

Minimum Qualifications

The successful candidate should have strong customer service skills and the ability to communicate with a variety of audiences both orally and in writing; experience using Microsoft Office Suite and other computer programs; excellent organizational skills; and a willingness to learn, take initiative, and jump in where needed to support team efforts.


Additional Considerations

Previous event experience is a plus.
Working in a museum setting is preferred.
