Job Duties

Key responsibilities include creating and maintaining a systematic filing system for case files, motions, orders, and other court documents. Accurately entering, updating, and verifying case information in the court’s electronic database/case management system. Reviewing submitted documents for accuracy, completeness, and compliance with court rules and procedures. Preparing and distributing court calendars and docket sheets to ensure accurate scheduling and record-keeping. Assisting judges, attorneys, and court personnel in locating and retrieving case documents. Providing administrative support by managing inquiries, phone calls, and visitor directions. Safeguarding sensitive information by maintaining confidentiality and upholding strict ethical standards. Leading and supporting team operations to ensure efficient workflow and adherence to established procedures. Supervising and mentoring records staff, including delegating tasks, monitoring workflow, and ensuring adherence to court policies and procedures. Coordinating training and development for team members to maintain high standards of performance and efficiency. Leading process improvement initiatives to enhance records management and overall team operations.

Minimum Qualifications

High School Diploma. The ideal candidate has experience in court records management or legal administration, strong knowledge of court procedures, and proficiency with case management systems. Leadership skills are essential, including team supervision, workflow coordination, and staff development. Exceptional organizational abilities, attention to detail, discretion in handling sensitive information, and strong communication skills are required to succeed in this role.

Additional Considerations

The Deputy Clerk, Records Team Lead, oversees the maintenance and accuracy of juvenile court records, ensuring all case files and related documents are processed and safeguarded in accordance with court policies and confidentiality standards. This leadership role requires strong organizational, administrative, and supervisory skills to support efficient court operations, while upholding the mission of the Juvenile and Domestic Relations District Court
