Job Duties

The Receptionist serves as the primary point of contact for the hospital, ensuring courteous and efficient communication and support to patients, visitors, and staff. This position operates the main hospital switchboard and telephone system, accurately receiving, transferring, and directing calls while providing timely and helpful information. The Receptionist greets and assists visitors in a professional manner; issues visitor passes and maintains accurate visitor and patient roster records in accordance with facility policies. Additional responsibilities include sorting and distributing mail, scheduling conference rooms, monitoring activity near the main entrance for safety, and assisting with general clerical and operational support as needed.

Minimum Qualifications

Working knowledge of office practices, procedures, and current office equipment required. This includes working skills in typing, data entry and use of office equipment and systems such as postal meter and scale, photocopiers, PCs and software, including Microsoft Office (Word and Excel). Thorough knowledge of relational databases. Demonstrated ability to format reports and data for administrative management of resources, etc. Demonstrated ability to learn operation of office equipment as updated or upgraded. Working knowledge of standard English grammar, punctuation, and usage. Demonstrated ability to communicate with staff and public harmoniously. Working knowledge of basic computational arithmetic and postal rules and regulations. Demonstrated ability to interpret and follow oral and written instructions and policies; collect, assemble, and maintain information for logs and reports.

Additional Considerations

Experience operating a multi-line or hospital switchboard system is highly desired.
Familiarity with paging systems, two-way radios, and emergency communication procedures in a healthcare setting is preferred.
