Job Duties

Virginia Energy is in search of an Administrative and Program Specialist to provide high level administrative support and program coordination for the Administration Department. This role is responsible for managing day-to-day operations, supporting program initiatives, serving as the Big Stone Gap office receptionist and ensuring efficient workflow across administrative functions.

Minimum Qualifications

  • Experience in administrative support, program coordination, or customer service roles.
  • Experience managing front desk operations and handling multi-line phone systems.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Excellent verbal and written communication skills, including professional email and document preparation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office productivity tools.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and a customer-focused approach to service delivery.
  • Ability to work independently and collaboratively in a fast-paced, team-oriented environment.
  • Attention to detail and accuracy in data entry, recordkeeping, and reporting.
  • Experience coordinating travel arrangements, including booking transportation and lodging, and preparing itineraries.
  • Familiarity with budget tracking, invoice processing, and procurement procedures.
  • Ability to manage office supplies, equipment, and vendor relationships.

Additional Considerations

  • Associate’s or Bachelor’s degree in Business Administration, Public Administration, Human Resources, or a related field preferred.
  • Experience working in a government, public sector, or large organizational setting.
  • Knowledge of state administrative policies and procedures.
