Job Duties
The Accounts Payable Technician is responsible for opening, date stamping and distributing invoices for payment processing to appropriate staff. Provide research and resolution of unpaid vendor invoices. Communicate with Departments and Vendors in ensuring accurate and timely resolution of vendor payments. Process vendor invoices in University ERP (BANNER) and in Commonwealth ERP (CARDINAL) systems in accordance with established State and University Policies and Procedures.
The Accounts Payable Technician is responsible for processing Invoices for payment once Purchase Order(s) and Receiving Report(s) have been updated in ERP (BANNER). Process payment directly in ERP (CARDINAL) as needed. Maintain organized vendor files. Prepare journal entries to correctly record vouchers into ERP (BANNER and CARDINAL) systems and assist with clearing ERP (BANNER and CARDINAL) voucher errors. Provide customer services via telephone, emails in A/P box, and walk-in. Assist in processing travel reimbursements as needed. Perform reconciliation of vendor statements. Serve as department Cash Collection Point Responsible Person and preparing departmental Cash Collection transmittals as needed. Properly safeguards University assets. Scan completed vouchers in Banner Document Systems.
Minimum Qualifications
Must have working knowledge of basic bookkeeping/accounting principles and practices.
Must have working knowledge of office procedures and practices and equipment; must have demonstrated ability to perform detailed work with numerical data; must be proficient performing mathematical calculations rapidly and accurately.
Must have effective communication skills, verbally and in writing.
High school graduate or equivalent with coursework in accounting.
Working knowledge of current State vendor payment policies and procedures.
Demonstrated ability to perform detailed work with numerical data and to make arithmetical calculations rapidly and accurately.
Working knowledge of bookkeeping/accounting principles related to governmental accounting standards.
Proficient using PC application i.e. MSWord, Excel, PowerPoint, Access.
Ability to analyze, interpret and apply complex fiscal policies and procedures.
Demonstrated ability to communicate effectively orally and in writing and to work as a team player.
High school diploma or equivalency with course work in accounting/bookkeeping.
Additional Considerations
Must be proficient using spreadsheet and word processing applications, Excel and Word are preferred.
Must have experience processing travel reimbursement vouchers and vendor payments using ERP systems, Banner and Cardinal are preferred.
