Job Duties
The Virginia Department of Taxation is seeking a highly skilled, detail‑oriented, and proactive Executive Assistant to support the Chief Information Officer (CIO) within the Office of Technology. This role is ideal for a professional who thrives in a dynamic environment, excels at coordinating complex workstreams, and enjoys serving as a trusted partner to senior leadership.
The Executive Assistant will provide high‑level administrative, operational, and strategic support to ensure the smooth functioning of the Office of Technology. This position plays a key role in enabling the agency’s technology initiatives that support our mission to deliver high‑quality service to the public.
Key Responsibilities
Executive & Administrative Support
• Provide comprehensive administrative support to the CIO and technology leadership, including calendar management, scheduling, meeting coordination, and travel planning.
• Serve as a primary point of contact for the executive office, triaging inquiries and redirecting matters as appropriate.
• Prepare, review, and edit correspondence, reports, briefing documents, presentations, and meeting agendas.
• Track action items, deadlines, and deliverables to ensure timely completion and alignment with defined requirements.
• Maintain strict confidentiality and handle sensitive information with professionalism and discretion.
Project Management Coordination & Support
• Support technology projects by tracking milestones, coordinating meetings, and preparing status updates.
• Help develop and maintain reports, dashboards, presentation materials, and documentation for strategic initiatives.
• Assist with compliance‑related activities, including audits, public records requests, and legislative or oversight inquiries.
• Coordinate across IT teams, business users, vendors, and agency leadership to ensure consistent communication.
• Maintain organized project documentation, including charters, plans, RAID logs, and decision logs.
• Support go‑live and cutover activities, including rollback planning and coordination.
Office Operations & Coordination
• Oversee logistics for internal and external meetings, including technology leadership forums, interagency collaborations, and vendor engagements.
• Manage meeting preparations, coordinate communications, and ensure timely follow‑up on action items.
• Support procurement and contract‑related administrative processes in partnership with finance, procurement, and legal teams.
• Maintain organized electronic and physical filing systems in accordance with records retention requirements.
• Assist with onboarding and offboarding activities for Office of Technology staff.
• Maintain project dashboards, trackers, and reporting tools to support office operations.

This position is eligible for a hybrid telework schedule.
The anticipated hiring salary ranges between $88,000 and $95,000, commensurate with experience.
This position is not eligible for sponsorship or F-1 (I‑983 (STEM OPT Training Plan) STEM OPT STUDENTS).

Minimum Qualifications
Proven ability and experience with administrative and executive-level support.
Project coordination skills and demonstrated ability to assist with project planning, tracking milestones, and maintaining documentation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, SharePoint).
Organizational skill and strong ability to manage multiple priorities, deadlines, and deliverables in a fast-paced environment.
Excellent written and verbal communication skills for preparing reports, presentations, and correspondence.
Proven ability to review, edit documents for accuracy and quality, as well as the ability to handle sensitive and confidential information with discretion and professionalism.
Ability to identify issues and propose solutions to improve administrative processes and workflows.
Additional Considerations
Advanced skill and knowledge in Business Administration, Project Management, or related field
Familiarity with project management methodologies (e.g., Agile, Waterfall) and tools (e.g., MS Project, Jira).
Experience supporting procurement processes and vendor coordination.
Prior experience working in a government or public-sector environment.
Experience with data visualization tools (e.g., Power BI) or advanced Excel functions for reporting and dashboards.
