Job Duties

The Virginia Commission for the Arts (VCA) is seeking to fill its Fiscal and Grants Associate position. The Virginia Commission for the Arts (VCA) is dedicated to investing in the arts in the Commonwealth of Virginia through the mechanism of grantmaking. As a grantmaker, the VCA stimulates and encourages public interest, arts engagement, and organizational and programmatic support to eligible organizations. Additionally, the VCA strives to elevate Touring and Teaching Artists. The VCA’s overarching goal is to connect and engage Virginians with the Commonwealth’s vast arts ecosystem. The Fiscal and Grants Associate will be primarily responsible for providing support with the processing of grant payments for grantees throughout the Commonwealth, while remaining in compliance with policies and procedures. The Fiscal and Grants Associate will assist with completing special projects of the Fiscal and Grants Unit as needed. Additionally, the incumbent of this position will be responsible for proofreading written and numerical documents; composing correspondence and memos; and communicating account information with internal and external customers and staff. The Fiscal and Grants Associate will also be responsible for successfully processing honorariums, W-9’s, and compiling other grant related reports.

Minimum Qualifications

Experience with assisting in the maintenance of grant databases and spreadsheets. Experience demonstrating knowledge, skills, and abilities to maintain communication with grantees throughout the grant lifecycle. Experience demonstrating the ability to maintain well organized digital filling systems; processing grant applications, providing feedback to localities throughout the Commonwealth. Experience providing general administrative support; assisting with the preparation of grant-related documentation and writing and editing content. Experience in monitoring progress related to reporting collected data, for quality control and accuracy. Experience demonstrating interpersonal skills to be a team player and provide customer service to all levels of internal and external customers via phone, email, or face-to-face. Experience communicating in writing with demonstrated ability to prepare grammatically correct documents and correspondence. Experience demonstrating the ability to multitask, be detail-oriented and organized in a fast-paced deadline-driven environment. Experience demonstrating computer skills to use Microsoft Office Suite software applications, including Word, Excel, Access, and Outlook, and experience using QuickBooks or similar types of software. High school graduate or equivalent.

Knowledge of grantmaking, Experience and knowledge of grant management software.
