Job Duties

The Virginia Department of Health Profession's (DHP) mission is to ensure safe and competent patient care by licensing health professionals, enforcing standards of practice, and providing information to health care practitioners and the public.

This position provides primary licensure support for the Registered Medication Aide (RMA), and Licensed Massage Therapy (LMT) professions regulated by the Board of Nursing by reviewing and processing applications for initial licensure, examination, renewal, endorsement, and reinstatement in accordance with all applicable laws and regulations. Independently processes applications and issues routine licenses and certificates. Handles name and address changes, duplicate license requests, and verifications. Prepares and disseminates correspondence and responds to general inquiries by phone and email, directing calls as needed. Provides licensure support to the Certified Nurse Aide (CNA) section as needed.

Minimum Qualifications

•Considerable knowledge of office procedures and administrative practices, including management of both electronic and paper filing systems.
•Working knowledge of licensing principles and practices within a regulatory or healthcare licensure environment.
•Ability to quickly develop and apply comprehensive knowledge of applicable state laws, regulations, and policies governing CNA, RMA, and LMT licensure and registration.
•Strong analytical and problem-solving skills, with the ability to research, interpret, and apply regulatory requirements to routine and complex situations.
•Ability to work independently, prioritize tasks, and manage a high-volume workload while meeting established deadlines and performance standards.
•Demonstrated ability to organize work efficiently and maintain accurate, complete, and accessible records.
•Proficiency in data entry, data verification, and basic data analysis, including the ability to prepare reports and identify process improvements.
•Skill in using Microsoft Office Suite and database management systems (e.g., MLO, Evoke or similar licensing systems).
•Ability to learn and effectively use licensing systems, tracking tools, and reporting functions.
•Strong attention to detail and accuracy in processing applications, correspondence, and data.
•Effective written communication skills, including the ability to draft clear, concise, and grammatically correct correspondence.
•Strong verbal communication skills, with the ability to respond to inquiries clearly, professionally, and tactfully in a high-volume customer service environment.
•Demonstrated interpersonal skills and ability to work collaboratively in a team setting while providing support across multiple licensing functions.
•Ability to provide high-quality customer service to applicants, licensees, and stakeholders, both by phone and in writing.
•Experience handling incoming calls and responding to inquiries in a fast-paced, service-oriented environment.

Additional Considerations

• Experience working in a regulatory or licensing environment is preferred.
• Experience using licensing database systems and other office technology in a high volume, fast-paced setting is preferred.
• Demonstrated experience working in a business office environment managing both electronic and paper records.
• Experience in providing customer service and interacting with the public in a professional office setting is preferred.
