The DGS Division of Real Estate Services (DRES) is hiring for a Real Estate Coordinator to provide high quality day-to-day coordination and logistical support to the Division Director and staff. DRES manages the Commonwealth’s broad real estate portfolio, ensuring compliance with applicable laws, policies, procedures, guidelines and best practices, and supports state departments, agencies, and institutions and their public missions by providing high quality real estate that is cost effective and functionally efficient.

Job duties include, but are not limited to: 

  • Preparing outgoing DRES correspondence and facilitating the delivery and distribution of incoming correspondence.
  • Coordinating the routing and approval of DRES recommendations to and through the DGS Director’s office and the SOA’s office with urgency and professionalism.
  • Monitoring and updating real estate information in COVA Trax, DRES’s Real Estate Database Management System, including creating new transactions, creating new lease and property records, updating recommendation briefs, tracking dates, updating Office of Attorney General tracking information, and closing transactions.
  • Managing the ordering of goods and services through the eVA procurement system.
  • Creating, updating, and coordinating the destruction of paper and electronic files promptly and in compliance with DRES policies and procedures and Library of Virginia Records Management policies.
  • Assisting the Lease Administration team with collection efforts on overdue accounts.
  • Coordinating and tracking travel vouchers.
  • Coordinating and assisting with weekly staff reports and other required periodic reports.

This position will be located in Richmond, Virginia and must report on-site.

Minimum Requirements

  • Experience with real estate documents, reports, and numerical and tabular materials.
  • Experience with administration, including records management.
  • Experience with data entry and using data to compile and print reports.
  • Familiarity with purchasing or purchase card operations.
  • Ability to interpret and apply complex instructions, rules, regulations and/or guidelines as appropriate.
  • Strong organizational skills.
  • Ability to determine work priorities, handle multiple tasks simultaneously, meet deadlines, and take initiative.
  • Ability to maintain strict confidentiality.
  • Excellent written and verbal skills.
  • Strong customer service and interpersonal skills, including the ability to establish and maintain effective working relationships with a wide diversity of individuals.
  • Ability to work independently and collaboratively with others in a team environment characterized by shared accountabilities.
  • Strong computer skills, including experience with email, word processors, and spreadsheets.

Additional Considerations 

  • Virginia Contracting Associate certification. Candidates who do not already have this certification will be required to obtain one within one year of employment.
  • Knowledge of laws, policies and guidelines governing conduct of real estate transactions by departments, agencies, and institutions of the Commonwealth of Virginia.
  • Familiarity with title reports, surveys, appraisals, property condition assessments, deeds, and lease and license documents.
  • Experience preparing documentation and records required for contract administration.
  • Public procurement experience.
  • Experience with eVA.
