Job Duties

The Virginia Department of Taxation is seeking a highly skilled, detail‑oriented, and proactive Project Coordinator to support the Chief Information Officer (CIO) within the Office of Technology. The Project Coordinator serves as a key contributor within the Office of Technology, providing high‑level administrative, operational, and project support to the Chief Information Officer (CIO). This position plays a vital role in coordinating technology initiatives, monitoring project milestones and deliverables, and ensuring effective communication between leadership, staff, and external partners. Through a blend of project coordination, executive support, and office operations, the Project Coordinator enhances Virginia Tax’s ability to deliver secure, efficient, and mission‑focused technology services to internal and external stakeholders.


What you will do in this role...


Project Support

• Track project timelines, tasks, and milestones.
• Maintain project dashboards, documentation, and schedules.
• Prepare meeting agendas, take notes, and follow up on action items.
• Support coordination for technology initiatives, including Project Lighthouse.



Cross‑Team Coordination

• Serve as a central point of contact for internal teams and external partners.
• Keep communication flowing across departments and help identify risks or issues early.
• Assist with onboarding logistics, software deployment coordination, and project-related events.



Executive Support

• Manage the CIO’s calendar, meetings, and travel arrangements.
• Prepare and edit executive briefs, reports, presentations, and correspondence.
• Handle sensitive information with professionalism and discretion.
• Track key deadlines and ensure timely follow‑up on executive initiatives.



Office Operations

• Support daily operations to keep the Office of Technology running efficiently.
• Assist with documentation management, process improvements, and administrative workflows.
• Provide general support for team activities and operational needs.



What You Bring

• Strong organization, time‑management, and communication skills.
• Ability to manage multiple priorities and work independently.
• Proficiency with Microsoft Office and collaboration tools.
• Comfort working with IT terminology and systems (or willingness to learn).
• Professional judgment, attention to detail, and strong follow‑through.
• Experience in administrative or project coordination work; public‑sector or IT experience preferred.



This position is located in our Central Office in downtown Richmond, Virginia. 

This position is eligible for a hybrid telework schedule. 

The anticipated hiring salary ranges between $65,000 - $75,000, commensurate with experience.

Minimum Qualifications

Proven ability and experience with administrative tasks, project support, and program and project coordination

Project coordination skills and demonstrated ability to assist with project planning, tracking milestones, and maintaining documentation

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, SharePoint)

Organizational skill and ability to track data, contribute to reporting, and ability to manage documentation

Excellent written and verbal communication skills for preparing reports, presentations, and correspondence

Ability to review, edit documents for accuracy and quality, as well as the ability to handle sensitive and confidential information with discretion and professionalism

Ability to identify issues and propose solutions to improve administrative processes and workflows

 

 

 

Additional Considerations


Advanced skill and knowledge in Business Administration, Project Management, or related field

Familiarity with technology tools, IT operations and/or IT project coordination

Experience with supporting executive leadership teams
