Job Duties:
The Department for Aging and Rehabilitative Services supports the Agency's mission, vision, values, and standards through the provision of exemplary customer service, quality administrative support, and facilities management services.
We are seeking an Office Services Specialist to serves as the primary receptionist for the Commissioner’s Office, including answering and routing telephone calls and directing visitors appropriately. Performs administrative tasks that support agency staff and programs, providing multifaceted analytical and administrative assistance to executive leadership. Also serves as a backup receptionist for the front office.
Works closely with the Assistant to the Commissioner, division leadership, staff, community partners, and other DARS offices to advance the mission of delivering high‑quality services across the Commonwealth. Establishes and maintains collaborative working relationships with agency staff, constituents, community partners, and the public, including individuals from diverse social and economic backgrounds.
Duties include but are not limited to:
- Commissioner's Office Receptionist
- Administrative Support
- Front Desk
Other duties and/or special projects as assigned.
Completes duties and/or projects as needed or directed by supervisor.
Minimum Qualifications:
- Business training and experience.
Knowledge:
- Working knowledge of office technologies and software products, including word processing, spreadsheet and database tools
Ability:
- Demonstrated ability in business office practices and procedures and in managing a high-volume executive office & perform multifaceted analytical and admin duties in support of executive leadership, including researching issues, gathering and analyzing information, and providing clear, actionable recommendations.
- Demonstrated ability to establish and maintain collaborative working relationships with agency staff, constituents, community partners, and the public, including individuals from diverse social and economic backgrounds.
- Demonstrated ability to create, edit, and prepare correspondence, reports, presentations, and communications for executive management, and to communicate effectively both orally and in writing.
- Demonstrated ability to work independently while delivering exemplary customer service through professional telephone support, courteous visitor reception, and effective assistance to coworkers. Consistently adapts to competing demands in a fast‑paced environment and maintains the highest standards of professionalism, responsiveness, and service excellence.
Additional Considerations:
- Proven ability to handle confidential information with discretion.
- Working knowledge of digital communication platforms, Constant Contact, and design tools such as Canva.
- Some working knowledge of state travel reimbursements, and/or procedures to include eVA and Cardinal)
- Some working knowledge of Virginia’s aging services network and related state agencies.
- Working knowledge of federal, state, and agency rules, regulations, policies, and governmental relationships.
- Experience in coordinating and implementing constituent services within a human services agency setting up through emails and telephone calls.
- Demonstrated ability to devise and monitor tracking systems for all documentation submitted for review by the Commissioner.
Special Instructions:
- This position has been designated a sensitive position under Va. Code § 2.2 1201.1.
- A fingerprint based criminal history check is required of the finalist.
