Job Duties

The Registrar is responsible for implementing innovative programs, processes, and services in the Registrar's Office that meet student and faculty needs, preserving the integrity of student and academic records, and optimizing technical resources. The Registrar is responsible for the
supervision and management of all administrative and operational functions and provides leadership to plan, organize, and manage all the activities related to the Registrar's Office, including serving as the official authorized keeper of the Institute's student records and assuring compliance with federal and state laws. The Registrar will lead in initiating, developing, and assuring compliance with academic policies and procedures, evaluating, and modifying the student information system for the University’s needs, and scheduling classes and the academic calendar. The Registrar will partner with faculty and staff within the Institute to develop and deliver various academic programs.

Essential Functions and Responsibilities: Individuals must possess knowledge, skills, and

• Hire, supervise, and evaluate the Registrar's Office staff.
• Support all aspects of the daily administration of academic records, including registration,
production of student grade reports and transcripts, transcript evaluations, graduation
applications, and degree audit processes.
• Develop and implement best practices that improve and maintain customer service and
communications with students, faculty, staff, and alumni.
• Develops and implements policies and procedures for the administration of registrar
functions and services, including registration, grading, transfer credit, transcripts, and
compliance with academic policies and FERPA.
• Initiate, develop, communicate, and interpret academic policies and procedures for campus
constituents.
• Works with and supports the Deans on student progress through the core curriculum and
graduation requirements.
• Develops and implements a department strategic plan that guides the operation of the
Registrar's Office and aligns with the strategic vision of the Institution.
• Assure compliance with federal academic regulations.
• Take leadership in developing the academic and academic planning calendar, scheduling
classes, and assigning classroom space.
• Assist with data collection/analysis for reporting, surveys, and enrollment statistics for
accreditation, IPEDS; responds to internal and external requests for data and information,
including requests from state and federal agencies.
• Maintains knowledge of best practices in student/academic information management and
Registrar functions through membership and participation in professional organizations,
conferences, and workshops.
• Represents the Registrar's Office on committees and represents Norfolk State University at
regional and national conferences and meetings.
• Oversees enrollment verification reporting to the National Student Clearinghouse (NSC).
• Share responsibility for database systems and processes, mainly for course management,
advising, and schedule development; assist with web portal maintenance and website
content.
• Collaborates with Information Technology, Instructional Design, and other campus offices in
designing, testing, and implementing student information, scheduling, and other relevant
systems.
• Supervise the coordination, evaluation, and certification of all graduation applications while
overseeing the complete graduation process to include all elements of the rehearsal and
ceremony.
• Develop and administer the departmental budget.
• Conduct research, analysis, and resolution of student disputes related to records and
registration.
• Other duties as assigned.

Minimum Qualifications

1. Bachelor's degree in student services, educational administration, or a related field.
2. A minimum of five to seven years of experience in higher education registrar services.
3. Demonstrable technical skills with student information systems/databases and experience
managing multiple tasks in a fast-paced environment.
4. Have a student-centered attitude and be a team player.
5. Excellent written and oral skills.
6. Possess vision and skills to model the effective use of technology for enrollment and course
management.
7. Organizational and project management skills.
8. Skill in leading, coordinating, and supervising the work of others.
9. Have demonstrated sensitivity to working with students, faculty, and staff from diverse
backgrounds.
10. Demonstrated ability to interact in a welcoming and engaging manner with all constituents.
11. Strong work ethic and sense of adaptability.
12. Candidate must demonstrate the ability to take direction and work independently and as part of a team.
13. A pro-active, reliable approach to assigned responsibilities, with responsiveness to prioritize
according to the department's needs.
14. Strong analytical skills to gather data, analyze information, and arrive at sound conclusions.
15. Sense of teamwork and commitment to treating others with respect, demonstrating a sense
of urgency, keeping team members informed, valuing others' input, and listening actively and
effectively.
16. Ability to handle a high-volume environment and balance responsibilities while maintaining a
respectful demeanor.
17. Flexible and adaptable; occasional evening or weekend hours required as necessary.
18. Keep up to date with best practices and local, state, and federal laws.

Additional Considerations

1. Master's degree.
2. Experience with student information systems, transfer credits, graduation processing, and degree audits.
