Pay Rate: $47,760 - $59,110.00/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.

Position Summary: The enrollment services coordinator will plan, implement, and execute marketing and recruitment strategies to increase new student enrollment at Pellissippi State.  Recruit students for targeted programs as well as traditional and non-traditional students. Coordinators advise and inform prospective students and parents regarding admissions and financial aid procedures. This position will rotate between all Pellissippi State campuses.

Essential Functions:

30% Plan, oversee and implement effective marketing and recruitment strategies and events to maximize new student enrollment.  Use Banner software to plan events for both traditional and non-traditional student populations. Plan events including the annual Open House, TN Promise info sessions, Adult Learner Open House, academic themed programs, special group tours, veteran students, and other special events at all campuses.

25% Serve as primary contact to new students. Counsel and inform high school and transfer students, re-entry students (and their parents) regarding potential enrollment and requirements at Pellissippi State as they relate to both admissions and financial aid. Communicate and provide updates to high school counselors about changes in curriculum and new initiatives, programs, and services at Pellissippi State. Work with business and industry to publicize opportunities for credit and non-credit courses.

15% Represent Pellissippi State at college and career fairs and business trade shows within our eight county region.  Assist in the implementation of a comprehensive enrollment management plan that increases potential student inquiries and provides systematic tracking of students from prospects to enrollment which is consistent with the college’s strategic plan.

15% Collaborate with Campus Deans to coordinate recruiting, marketing and event planning strategies for site campus specific programs. Oversee special tours and weekly tours for assigned campuses.  Ensure enrollment brochure supply for assigned campuses are sufficient and current

10% Assist with registration activities: dual enrollment, financial aid assistance, and drop/add assistance during peak times

5% Serve on committees as assigned and other duties as assigned.

Key Results Areas: Number of contacts, applications, and students enrolled –goals are set each semester based on assigned territories. Goals are also set for number of recruitment events number of tours offered.  

Job Requirements: 

  • Minimum of a Bachelor’s degree

A minimum of two years’ experience in related student affairs area with one year experience to include at least one of the following:

  • College recruitment
  • Advising
  • Event planning
  • Financial aid
  • Or other related student affairs experience

Part-time work experience is calculated at 50% credit of full-time work experience.

Skills & Abilities:

  • Clear and persuasive speaking skills for presentations, meetings, group and one-on-one interactions.
  • Ability to establish and maintain positive relationships with prospective students, parents, high school counselors, and other stakeholders.
  • Ability to manage multiple tasks and prioritize effectively to meet recruitment goals and deadlines, including organizing events and campus tours.
  • In-depth knowledge of the college’s programs and services, admission requirements, and student life, as well as an understanding of financial aid options.
  • Able to engage in the College’s mission and values. 

Complexity & Creativity: 

When working with students and helping them navigate enrollment processes like financial aid the job can be very complex.  For example, if an enrollment services coordinator is working with a student who is doing poorly in classes and wants to withdraw, – the Enrollment Services Coordinator must work with other offices like Financial Aid to ensure that withdrawing will not negatively affect the student and future scholarships. When advising students during peak times, Enrollment Services Coordinators help students understand their strengths and abilities and guide them toward realistic goals and majors.  The Enrollment Services Coordinator is a ‘one-stop’ person who can guide students (and their parents) through the often murky waters of higher education.  Enrollment Services Coordinators (ESC) must be highly skilled communicators who are very diplomatic. ESC must be skilled ‘sales’ people -  gathering knowledge of the students (and parents) and using what they know to match what the college has to persuade the student to choose Pellissippi State. ESC’s must cultivate strong relationships with school counselors in our service area, local businesses (for adult applicants), and internal relationships like the Foundation office so we can offer additional funding to students if possible.  

Magnitude of Impact: 

The position requires collaboration with many offices in the College including but not limited to Admissions and Records, Financial Aid, Advising, Stay Strong Student Success, Academic Services, Student Account Services, etc. As an example, a student requested that their classes be reinstated after being expunged for non-payment. The student did not meet the financial aid priority deadline; therefore, they were waiting on their financial aid verifications to be processed.  They started the semester while waiting on processing, few weeks into the semester they experienced a medical condition which caused them to miss two weeks of classes.  This issue now required the involvement of their instructors, the offices of Financial Aid, Records, Student Account Services, and Counseling.  The impact of the issue was immediate, although the student was now eligible for financial aid, they may not be able to continue because, while sick, they had not made contact with all of their instructors. The issue is pending, but if the student is not satisfied with the outcome the Student Account Services Manager, Financial Aid Director, and VP of Academic Affairs may be called on to intervene.

Responsibility for Accuracy:

Not being informed of changes could bring about errors in communicating with others. The error could be caught by the employee if information is disseminated in a timely manner and the employee contacts the individual(s) or business.  If the individual continues through the admissions/financial aid processes, then the misinformation could be caught.  The effect of the errors could be the loss of students enrolling/registering for courses, a delay in graduating, ramifications from misinformation regarding Financial Aid (loss of aid, delay in receiving aid), the loss of business and industry involvement with the College, and the reputation of the College could be damaged.

Financial Impact: 

Failure to comply with policies regarding residency could result in a student paying significantly less money in tuition if granted incorrect residency status. 

Budgetary:

Not directly responsible for budget. Does provide input in the materials, supplies and travel needs for the position.

Judgement and Decisions: 

Independent decisions are made daily regarding where, when, and how to recruit students.  Coordinators are responsible for their ‘territory’ and it is up to them to maximize their prospects and increase their numbers from their territory each year.  They strategize given the numbers of graduates from particular high schools, and the demographic data on the area.   Discerning what recruiting events in which area to participate is one of the many independent decisions; and who to involve in these activities. When planning special events (example: tours or other recruiting activities), the employee determines who to include in the events---faculty, staff---what to showcase, etc. Logistics and scheduling activities require judgment.  When large groups come to the College, the employee determines when to schedule the visit and how to plan the activities.  The employee must determine the logistics (where to tour, how to divide the groups, how many student ambassadors are needed, what faculty to include, how and where the tours are conducted, etc.).   Decisions are shared, but most decisions are not reviewed before becoming effective.  If decisions need to be reviewed, the Assistant Vice President of Enrollment Services is the individual who would be consulted. 

Nature of Contacts:

The nature of the interactions is to provide and get information, to discuss different areas of the College, to discuss and seek understanding, to resolve conflict, and to plan and implement various recruitment events and publications. Within the College, contacts include support staff in different departments, faculty and deans, Registrar, Marketing, Advisors, IT, site deans, Event Services, financial aid, managers, Assistant VP, Vice President, President, cohort director, curriculum director, Foundation office.  Outside the College includes potential students, parents, high school educators (administration/teachers/counselors), middle school and elementary personnel and students, Department of Education representatives, other higher education institution personnel (administrators, recruiters, etc.), community leaders, employers, non-profit organizations, correctional facility personnel and inmates, etc. 

Physical Demands:

The job requires staffing events where boxes/cartons of materials are loaded/unloaded, hauled and set up. The weight of the cartons can vary but could weigh 20-40 pounds. Many of the recruiting events require long hours of standing.  Travel is involved in the job.  There is a lot of keyboard/computer work involved in the job.
