Job Summary
This position is responsible for the maintenance and accuracy of the Xenegrade Workforce Development non-credit student system which includes managing the course registration system, ensuring compliance with academic policies, and delivering exceptional service to students and faculty. This position will also work alongside the marketing department to coordinate and execute the department’s social media strategy. Additonally, the position will be responsible for campus Facilities Use Agreements, coordinating with requestors and writing contracts, and scheduling all internal and external facility usage, and assisting with event set up both on and off campus.
Job Duties
Registration Management:
· Oversee all aspects of the course registration process, including scheduling, enrollment management, and system maintenance.
· Assist with non-credit course setup, registrations, payments, and daily reports utilizing the Xenegrade system.
· Serve as the primary point of contact for clients regarding registration inquiries, issues, and assistance.
· Collaborate with clients to understand their training or event objectives and requirements, providing recommendations and solutions as needed.
· Coordinate training event logistics such as reserving rooms, arranging for and picking up meals, and preparing essential paperwork such as course rosters, handouts, directional signage, course evaluations, etc.
· Prepare and distribute registration-related materials, including schedules, instructions, and communications to students and trainers.
· Properly file course documentation upon the completion of training events.
· Oversee event setup and teardown, ensuring all logistical elements are executed as planned. Social Media Management
· Develop and execute social media engagement strategies for Workforce Solutions’ events, course offerings, and department announcements.
· Build and maintain a strong online presence for Workforce Solutions across multiple platforms (Facebook, Instagram, Twitter, LinkedIn, etc.).
· Create and manage a social media content calendar.
· Collaborate with the marketing team to plan and execute campaigns, promotions, and events that drive audience engagement.
· Analyze social media data and metrics to inform strategy and improve performance.
Facilities Management:
· Coordinate campus Facilities Use Agreements with requestors and prepare contracts
· Collaborate with various departments and external clients to understand their facility needs and provide appropriate solutions.
· Manage the scheduling of all facility spaces, including meeting rooms, auditoriums, and outdoor areas, ensuring optimal usage and conflict resolution.
· Serve as the primary point of contact for facility inquiries, providing timely responses and exceptional customer service.
· Conduct site visits with clients to showcase facilities and discuss specific requirements.
· Monitor and enforce facility usage policies and procedures to ensure compliance and safety standards.
· Assist in organizing facility maintenance and improvements in collaboration with the Facilities Management team.
Administrative Support:
· This position will also provide administrative support to the director in the daily activities of the Workforce Solutions department.
· Serve on college committees.
· Other duties as assigned.
Minimum Qualifications
· Associate degree from an accredited institution
· Demonstrated experience in overall office management skills
· Ability to successfully organize and manage multiple tasks simultaneously
· Demonstrated ability to pay close attention to detail with routine tasks and interruptions
· Demonstrated knowledge of MS Office Suite, including Word, Excel, PowerPoint, and Outlook
Preferred Qualifications
· Creative self-starter who is comfortable with both taking initiative and working in collaboration
· Proven experience as a Social Media Specialist or related position
· Knowledge of Adobe Creative Suite is a plus

Pay Rate: $31,677- $38,011 (Annual salary depending on eligible experience, which is defined by the current compensation plan.)
