Job Summary
Reporting to the Chief of Police, the Executive Assistant for Police and IT will assist the Chief of Police and the Assistant Vice President for Information Technology/Chief Information Officer to streamline the daily operations in both divisions.
Job Duties
• Manage all administrative tasks for the Police Department and Office of Information Technology.
• Process purchase orders and requisitions, order supplies and publications.
• Manage travel arrangements and documentation for departmental personnel.
• Manage facility use scheduling and organization.
• Coordinate effective meetings within departments by preparing meeting agendas and taking minutes.
• Assist with the collection of Clery Act data and review of the required manuals.
• Assist with the organization of department records.
• Assist with the inventory of departmental equipment and assets.
• Manage the Chief of Police and Assistant Vice President of Information Technology’s calendar for effective use of meeting and appointment times.
• Act as a scribe during emergency situations and routine meetings to ensure accurate records of the events.
• Provide a receptive attitude for visitors of the Northeast State Police Department.
• Complete other assignments as directed by supervision.
Minimum Qualifications
• Associate’s degree or higher from an accredited institution.
• At least two years of experience providing administrative support in a multi-office business or higher education environment.
Preferred Qualifications
• Bachelor’s degree or higher from an accredited institution.
• Certified Administrative Professional (CAP) credentials
• Conversational ability or fluency in a second language.
Knowledge, Skills, and Abilities
• Technology Skills: MS Office skills, Word, Excel, Outlook; videoconferencing software; digital records management systems; general operating systems and data information systems
• Ability to communicate effectively both verbally and in writing.
• Strong organizational skills with the emphasis on the ability to prioritize tasks and manage multiple projects simultaneously.
• Strong time management skills
• Ability to ensure accuracy in all tasks
• Ability to maintain confidentiality while handling sensitive detail.
