Job Summary:

The Senior Administrative Assistant reports to the Assistant Vice President for Student Support and assists with the general operations of the Office of Assistant Vice President for Student Support. This position provides clerical support for the office and for the Assistant Vice President related to the areas for which that position is responsible. Additionally, support is provided to other areas of the Division of Student Services as needed.

Job Duties:

Provide administrative support for the Assistant Vice President for Student Support. Maintain Assistant Vice President’s calendar by scheduling appointments and both in person and virtual meetings. Maintain and coordinate front office coverage for the suite. Supports all budgetary procedures for the Assistant Vice President to include but not limited to purchase orders, check requests, vendor contracts, and pro card reconciliation. Coordinate travel arrangements, complete travel authorizations and claims. Notify faculty of individual student absences related to emergencies or illness which are reported to the Office of Vice President for Student Services. Responsible for maintaining appropriate office supply inventory. Support Student Activities through facilities set-up, ordering supplies and giveaways, processing facilities reservations and staffing the event as needed. Submit the appropriate work orders or requests for each activity or event. Schedule usage of Campus Center Hallway for internal constituents. Responsible for processing club proposals which includes requesting club advisor approval and completing room reservation and work orders. Responsible for processing Student Government Association (SGA) Student parking ticket appeals. Responsible to complete and distribute committee minutes, when necessary and as appropriate. Assists Executive Administrative Assistant and other staff with Commencement activities. Assist state and federal agencies seeking disciplinary information related to for specific students. Assists students, as appropriate and needed, with resolving issues/problems related to college procedures and/or policies. Track student conduct case files using student conduct software. Maintain a strong working knowledge through regular training of the student conduct software. Assist students with using Single Stop to encourage them to use community resources. Assist students who have been referred for support (i.e. The Feed, mental health counseling, de-escalation, etc.) by introducing them to the appropriate processes and resources. Support the Executive Administrative Assistant to the Vice President for Student Services in order to maintain smooth office operations in the absence of the Executive Administrative Assistant. Monitor the Game Room daily and assist in the game checkout processes. Provide assistance to other offices in the Division when support is needed and may assist other Divisions and/or Departments with special projects. This position will be trained as a Building Coordinator which involves directing building occupants in the event of an emergency or crisis. Other duties as assigned. 

Minimum Qualifications:

Associates degree (or higher) OR High school diploma or equivalent with one year of office experience.

Knowledge, Skills, and Abilities:

Proficient in Microsoft Office applications. Mastery of Word, Excel, and electronic signature software.
Ability to communicate effectively and work cooperatively with a diverse faculty, staff, and student population.
Must have strong organizational skills.
Must present a confident, professional demeanor.
Must be very detail oriented and have an exceptional ability to scan for accuracy and completeness.
Must be able to master a number of tasks, often simultaneously.
Must be able to look for ways to streamline processes to enhance operational efficiency.
Ability to maintain confidentiality and discretion.

Pay Rate: $38,206 - $45,847 annual salary depending on experience
