The Open Enrollment Programming Coordinator manages the logistics of the establishment and maintenance of non-credit open enrollment classes and programs. Responsibilities include overseeing course creation and management, conducting data analysis, providing new instructor onboarding and ongoing support, assisting in marketing and promotion activities and contributing to departmental growth.
Essential Functions:
Open Enrollment Programming
- Works with the Director and Dean to establish non-credit, open enrollment short classes scheduled for the nine-county service area including pricing, contracting instructors, reserving facilities, entering data into the student information system, providing instructor support, etc.
- Manages the staff and/or faculty hired to coordinate operations of the unit’s programs including, but not limited to: CDL, CCMA, Phlebotomy, and Pre-Apprentice Lineworker.
- Utilize software for tracking student applications and required documentation for program admittance.
- Ensure classes are appropriately priced using the WCE pricing spreadsheet.
- Maintain student end of class evaluations for use by the Director of WCE for quality assurance.
- Work with the Dean of Regional Services and Workforce Operations to creatively engage students and improve student experience.
- Manages third party open enrollment course provider with contractual obligations including student tracking and contract renewals.
- Makes recommendations to the Director regarding popular courses that could be replicated in-house or promoted separately.
- Serve as the lead on events offered by WCE coordinating room reservation, promotion of the event, speaker/vendor support, catering, etc.
Data Management
- Assist the Director of WCE with quarterly collection and analysis of open data.
- Work with the Director to make changes to courses/classes/programs including tuition to adequately reflect at least 25% margins over direct cost of products.
- Serves as backup support for departmental data entry for all required systems.
Marketing and Promotion
- Assist in the development and implementation of strategic marketing and promotion plan for the WCE unit allowing for widespread dissemination of information regarding classes, programs and services to the public as well as specifically identified subgroups such as inactive credit students, Chamber businesses, etc.
- Manages events pertaining to open enrollment courses (Lineworker Rodeo, etc.)
- Provides second tier customer service support as needed to the Administrative Assistant ensuring inquiries about products are answered adequately and in a timely manner.
- Remains knowledgeable of credit programs to reflect the one-college strategy when at external events on behalf of the college.
Supplemental Functions
- Support development, oversight of programs and services that result in enrollment, progression, retention and graduation growth for the service area.
- Serve on college committees as assigned.
- Other duties as assigned.
Education, Training, and Experience:
Required:
- Bachelor’s degree in workforce development, business related field, marketing, communications, education or other field with business management experience.
- One year of experience in outside sales, data management, training, event planning or related field.
- Experience effectively managing multiple projects, adapting to changing schedules and meeting deadlines.
- Office management experience related to budgeting, recordkeeping, reporting, and meeting deadlines.
- Intermediate experience with Microsoft Office applications – Windows, Word, Excel, PowerPoint, and Access, or database applications.
- Excellent oral and writing skills
- Experience monitoring and updating web sites.
Preferred:
- Experience in workforce development, contract training, higher education, or industry training.
- Familiarity with CRM systems, scheduling tools, or project-management software.
- Experience working with learning management systems (LMS), especially D2L.
- Knowledge of local and regional labor market needs.

Working Conditions
- Varied work hours, including days and evening and weekend hours as needed.
- Travel to Columbia State campuses and other service area locations as needed and or directed.
