Pay Rate: $32,150 - $38,150/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.

Position Summary: The overall purpose of this job is to provide front line support for the Advising office by answering phone, assisting students, and directing inquiries. Supports advisors with scheduling, student record preparation, and general administrative tasks while helping maintain office operations and resources.

Essential Functions:

30% Provide support to the advising office and serve as the first contact for the Advising Center at Hardin Valley including answering student questions, routing students appropriately, answer the Advising office phone; manage the walk-in que; provide appointment scheduling support for advisors.

20% Assist with the advisor assignment process in Banner 9; maintain the advisor change list; provide support to the advisors including reviewing student records for advising readiness.

15% Maintain information contained in the SharePoint site; check for accuracy and accessibility; know accessibility protocols; assist with accessibility protocols for advising materials and presentations.

15% Use the various software systems needed to schedule appointments, meetings, and transfer events; contact students on behalf of advisors for scheduling changes; create appointments in Navigate.

10% Assist the director with various office tasks including scheduling meeting rooms, accessibility protocols for documents and website; initiate purchase orders in PelliBiz; organize and maintain the advising office area; document needs and other general office tasks; schedule rooms for advising meetings and trainings.

10% Provide phone and Hardin Valley reception area support to the Advising office as well as any adjacent office supported by the waiting area along with routing students to the appropriate appointment.

Job Requirements: 

High School Diploma and 5 years of customer service or call center experience required, or an Associate’s degree from an accredited institution and 3 years of customer service or call center experience, or a Bachelor’s degree from an accredited institution and 2 years of customer service or call center experience.

Computer software such as Word, Excel and PowerPoint; familiarity with Access; MS360 and windows; Any Customer relation management software; multi-line phones

Part-time work experience is calculated at 50% credit of full-time work experience.

Skills/Abilities:

  • Must possess excellent communication, analytical thinking and problem-solving skills.
  • Must be able to work independently, making confident decisions, as well as serving as a team player.
  • Ability to manage several tasks throughout the day as well as answer phones and greet students;
  • Proficiency in Microsoft Outlook, Excel, and Access; Adobe Acrobat; and previous experience with Student Information systems and scheduling software.
  • Use of Cisco phone system.
  • Ability to quickly learn new systems.
  • Ability to multitask effectively; and prompt decision making skills are needed.
  • Able to engage in the college’s mission, vision, and values.

Physical Demands: Extensive computer use, loading paper for printer, long periods of sitting behind a desk

Hazards: Minimal but the risk of illness is higher when working in a public facing position.
