Job Summary
The Veteran and Military Student Success Center (VMSSC) Coordinator is responsible for certifying benefits recipients to Veterans Affairs (VA) and providing support to military-affiliated students. They report to the VMSSC Director and assist them with student success events and professional development opportunities.
Job Duties
• Serve as School Certifying Official & maintain related annual training requirements
• Comply with the Tennessee State Approving Agency’s policies and guidelines to maintain the College’s eligibility for GI Bill® benefits
• Comply with mandated procedures from the VA and the DoD’s MOU
• Manage administrative duties for the VMSSC, including but not limited to records management, answering calls, processing mail, maintaining website and social media pages, and assisting walk-in clients.
• Assist in organizing and maintaining the veterans’ records system (Enrollment Manager)
• Initiate admissions and/or education benefits applications and any other related forms
• Process administrative records and enter veterans’ information into appropriate computer systems; certify eligible students each semester and make changes weekly as needed
• Submit end-of-term reports to include graduation, dismissal, course repeats, and any other necessary reporting
• Administer the Joint Service Transcripts (JST’s) for veteran students
• Work with the Business Office to ensure proper payments are made, and refunds are correct; monitor third-party payments to ensure compliance with requirements of the GI Bill; ensure school debt notices are correct before forwarding them to the Business Office
• Monitor student alerts; contact students and refer to internal and external resources as needed
• Assist with planning and coordinating veteran-centric events, including but not limited to campus-wide events (e.g. Veteran’s Day Ceremony), internal training opportunities, and Veterans Orientations.
• Promote the VMSSC and related services on campus and within the community, including travel to local events.
• Supervise VA work study participants and handle all associated paperwork, including time sheets; ensure correct and timely payments are made to participants
• Act as advisor for the Student Veterans of America chapter on campus
• Be responsible for all office activities in the absence of the Director
• Crosstrain in all aspects of Veterans and student services
• Complete other assignments as directed by supervision.
Minimum Qualifications
• Associate degree or higher from an accredited institution
• Two (2) or more years of experience in higher education or Veterans services
Preferred Qualifications
• Experience as a School Certifying Official
• Experience working in a community college
• Professional experience in veterans services
• Conversational ability or fluency in a language other than English
Knowledge, Skills, and Abilities
• Technology Skills: MS Office skills, Word, Excel, Outlook; videoconferencing software; digital records management systems; general operating systems and data information systems
• Ability to work independently and to assist in problem-solving for students, staff, and the public
• Ability to establish and maintain effective and cordial working relationships
• Knowledge of records management concepts and best practices
• Attention to detail, accuracy, and follow-through
• Ability to multitask and meet deadlines established by VA and DOD
• Knowledge of Enrollment Manager and other systems used by VA and DoD
