Job Summary
Reporting to the Assistant Vice President for Student Engagement and Success, the Executive Assistant provides administrative and operational support to the Office of the Assistant Vice President and coordinates assigned cross-divisional administrative functions.
The position supports the AVP through calendar and meeting coordination, communications, records management, purchasing and budget documentation for the AVP office, travel, reporting support, and administrative coordination of assigned events and initiatives.
The Executive Assistant serves as a central administrative resource for the AVP office and works collaboratively with departmental administrative staff, students, faculty, College employees, leadership, and external constituents. The position exercises sound judgment and discretion in organizing and completing assigned administrative work within established procedures and supervisory direction. The position may coordinate administrative and logistical support for programs, events, and initiatives, while program direction, policy decisions, and other substantive matters remain with appropriate leadership.
Job Duties
Provide administrative and operational support to the Assistant Vice President for Student Engagement and Success and the AVP office.
Maintain the AVP calendar; coordinate appointments, meetings, schedules, travel, and routine administrative follow-up.
Prepare correspondence, reports, presentations, agendas, meeting materials, minutes, and other administrative documents.
Serve as an initial point of contact for the AVP office; respond to routine inquiries and refer matters requiring administrative
or programmatic decisions to appropriate leadership.
Coordinate administrative support for leadership meetings, councils, committees, and cross-divisional activities.
Support assigned initiatives, projects, institutional reporting, and accreditation-related activities by coordinating timelines, materials, communications, and follow-up.
Assist with report development and institutional submissions by collecting, organizing, verifying, compiling, and formatting information.
Prepare, enter, and process purchase requisitions and related purchasing documentation for the AVP office; maintain related budget and expenditure records.
Provide administrative and logistical support for Honors Convocation and other assigned events under the direction of the AVP or designated event lead.
Maintain confidential personnel, financial, statistical, operational, and other electronic and physical records in accordance with College procedures.
Maintain assigned webpages and administrative information in coordination with appropriate departments and content owners.
Provide effective customer service and administrative coordination with students, employees, departmental staff, student workers, temporary employees, and external constituents; complete other assignments as directed by supervision.
Minimum Qualifications
• Associate degree from an accredited institution.
• Two years of progressively responsible clerical, administrative assistant, or comparable administrative support experience, preferably in higher education.
Preferred Qualifications
• Bachelor degree from an accredited institution.
• Administrative or executive support experience in higher education, student affairs, student success, or a related educational environment.
• Experience with institutional enterprise systems such as Banner, Jaggaer, or comparable student information, purchasing, financial, or administrative systems.
• Experience supporting purchasing, budget tracking, meetings, and events in a complex organizational environment.
• Experience maintaining confidential personnel, student, financial, or other regulated institutional records.
• Conversational ability or fluency in a language other than English.
Knowledge, Skills, and Abilities
• Proficiency with Microsoft Office and routine digital records-management and information systems.
• Ability to organize, prioritize, and complete multiple assigned tasks within established deadlines.
• Ability to independently organize and complete assigned work within established procedures and supervisory direction.
• Ability to maintain confidential records and information in a responsible manner.
• Ability to communicate clearly, professionally, and concisely in writing and verbally.
