About the Position:

The Director of Undergraduate Academic Services collaboratively leads and oversees all aspects of the student request process, this includes reviewing, investigating, and responding to thousands of undergraduate student requests and exception to policy appeals. The Director has oversight of the requests system and applies Costello College of Business (CCB) and Mason policies and procedures in review of requests. Additionally, this position is responsible for the review and editing of student communication campaigns specific to attempts, midterm reports, retention, and other student success initiatives. The Director tracks trends in student requests, examines frequently substituted or waived courses, and ensures students are aware of CCB and Mason academic policies. This position reviews and acts on all transfer credit evaluations. The Director is tasked with the oversight of retention strategies for undergraduate students, working to support special populations, and oversees, analyzes, and interprets retention data. The Director reports on retention trends and supports academic success programs for undergraduate students. The Director is responsible for academic updates to the OSSAS website.

Responsibilities:

Supervisor Responsibilities:

  • Responsible for setting goals for performance and deadlines in ways that comply with the University's plans and vision and communicate them to subordinates;
  • Organizes workflow and ensures that employees understand their duties or delegated tasks;
  • Monitors employee productivity and provides constructive feedback and coaching;
  • Receives complaints and resolves problems;
  • Maintains timekeeping and personnel records;
  • Passes on information from upper management to employees and vice versa;
  • Prepares and submits performance evaluations;
  • Hires and trains new employees; and
  • Ensures adherence to legal and University policies and procedures and undertaking disciplinary actions if the need arises.

Student Requests:

  • Oversees and leads the student requests process for CCB, including reviewing thousands of requests each semester and responding accordingly;
  • Acts on 81 unique request types and applies policy and procedures in an equitable manner to request decisions;
  • Works with student request coordinator to develop consistent communication to students regarding request outcome and decisions;
  • Supports the Appeals Review Board on appealed requests by providing detailed information regarding decision-making process for individual requests;
  • Details communication to students regarding denied requests, including information why the request was denied and appeal process;
  • Reviews and decides on re-enrollment and re-admission requests, and reviews student academic history and catalog year to determine if new catalog year needs to be completed and if student meets the criteria for re-enrollment; and
  • Reviews and responds to pre-requisite and co-requisite waiver requests, and provides supporting documentation in communication with students why pre-requisite or co-requisite request is denied.

Curriculum and Policy:

  • Creates and implements communication for faculty, staff, and students regarding CCB academic policies and requests, appeals, and complaints process for students;
  • Responds to all policy exemption requests, this includes thoroughly reviewing student case history in Salesforce, Navigate, Banner, and PatriotWeb, and reviewing submitted documentation to decide if the student request warrants an exception to policy due to extreme circumstances; and
  • Serves as CCB Liaison to APAC subcommittee.

Retention:

  • Leads retention efforts for CCB UG programs;
  • Collects, analyzes, and reports retention data to senior leaders in the Costello College of Business and central;
  • Oversees the management and creation of student success programs specific to students in academic difficulty;
  • Collects, analyzes, and reports RTS data and trends;
  • Ensures academic advisors can provide assistance to students within the RTS programs to ensure a positive student experience; and
  • Analyzes and reports student retention, attrition, persistence, and satisfaction data, and compares data to internal benchmarks and University peer institution data to identify trends and potential solutions.

Outreach Campaign:

  • Manages over a hundred unique outreach campaigns for UG Programs, including the BS in Major campaign for SCHEV and midterm and final grade reporting;
  • Coordinates the Costello College of Business midterm and course repeat campaigns, and creates and sends information to students who earn unsatisfactory midterm grades and those who are on their first, second, or third attempt of a course;
  • Creates and implements midterm reporting campaigns to students who do not meet the minimum GPA at midterm reporting each semester;
  • Reviews and edits all course attempt campaigns to students who have a first, second, and third attempt at a course; and
  • Creates and implements UG student campaigns as necessary regarding academic success and standing.

Required Qualifications:

  • Master’s degree or equivalent combination of education and experience;
  • Considerable experience working with engagement, retention, and student support programs (typically three or more years);
  • Knowledge of academic advising and student development theories;
  • Skill in data entry and analytics;
  • Ability to accurately prepare and maintain reports;
  • Ability to utilize data to inform decisions;
  • Ability to apply policy effectively and equitably;
  • Ability to establish goals and objectives that support the strategic plan; and
  • Ability to analyze, organize, and prioritize work while meeting multiple deadlines.

Preferred Qualifications:

  • Knowledge of Salesforce;
  • Knowledge of Navigate; and
  • Experience with data collection.
