About the Position:

The Coordinator of Student Involvement for Registered Student Organizations position is a part of the professional staff team of Student Involvement, within the Division of University Life.  The position manages multiple responsibilities while fulfilling the strategic goals as established by the office, division of University Life, and the university.   Reporting to the Assistant Director of Student Involvement for Registered Student Organizations, the Coordinator for Registered Student Organizations (RSOs) is responsible for providing support, leadership development and training to RSOs. The coordinator is responsible for the oversight of the RSO registration process as well as assisting students with event planning and effective implementation of their events. This position also provides support for various programs and functions of the unit.  

Responsibilities:

Administrative Duties 

  • Co-advises the RSO Leadership Team with the Assistant Director;
  • Oversees the registration process for all RSOs and new RSOs to ensure executive board members are informed; 
  • Oversees onboarding of all new student organizations; 
  • Works in collaboration with the Assistant Director to provide support to over 500 student organizations in all areas of program planning, fiscal responsibility, and operational procedures; and
  • Contributes to and assists in maintaining the RSO Hub website. 

Advising, Event Planning & Execution

  • Assists and advises students in all aspects of successful program planning, advertising, budgeting, contract negotiation, use of facilities/equipment, and program arrangements; 
  • Provides education and advising to RSO leaders in their understanding of campus policies, procedures, and guidelines; 
  • Serves as the Student Involvement contact for RSO Event Checklist review and approval;
  • Provides RSO students with contract and insurance guidance for their events;
  • Reviews and submits all completed RSO event contracts and insurance documents for approval to Microsoft Teams tool;
  • Updates and maintains a list of available spaces for RSO use including their capacity, location on campus and any fees that may be incurred for use; and
  • Assists with the planning and execution of RSO related annual events.

Support of Student Involvement Initiatives 

  • Assists with the execution of major events as needed; 
  • Serves on department or division-wide committees as requested;
  • Participates as an active member of the University Life/Student Involvement professional staff, attending departmental meetings, collaborating with other staff members, and assisting in office-and department-wide initiatives and programs; and
  • Performs other related duties as assigned. 

Required Qualifications:

  • Master’s degree in related field or equivalent combination of education and experience;
  • Experience working with student organizations and event management; 
  • Demonstrated experience working with a team to accomplish collective goals;  
  • Demonstrated experience managing conflicting and competing situations; 
  • Experience with spreadsheets and formulas to support data input and collection;
  • Knowledge in event management;
  • Demonstrated organizational skills;  
  • Ability to effectively communicate with students, faculty and staff;
  • Ability to build and maintain collaborative relationships; 
  • Ability to work independently and collaboratively with team members in a high-energy, progressive and inclusive department; 
  • Ability to be flexible and adaptable to change; and
  • Must currently possess an appropriate, active, valid motor vehicle operator’s license that meets all of GMU’s requirements for operating state vehicles and equipment under Mason’s Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/. The Office of Risk Management reserves the right to review the driver’s licenses and Motor Vehicle Reports (MVRs) of all candidates selected with employment contingent upon a favorable review.

Preferred Qualifications:

  • Experience typically obtained in 2+ years working in Student Activities, Student Involvement or Student Affairs related unit on a college campus;
  • Experience in direct advisement and leadership development of students and student organizations;  
  • Experience with Microsoft tools;
  • Experience supervising student employees;  
  • Experience planning and implementing large scale events on a college campus;  
  • Experience in managing confidential information; 
  • Experience in developing and presenting workshops, programs, and initiatives for students;
  • Knowledge in organizational and event risk management;  
  • Demonstrated interpersonal, oral, and written communication skills;  
  • Ability to manage multiple tasks and meet deadlines, work accurately and quickly with attention to detail; 
  • Ability to develop and implement educational/development programs on topics such as event and risk management, leadership, etc.;
  • Commitment to customer service; and
  • Willingness to assist and collaborate with colleagues.
